Job Summary
To administer trusts: Legal Claims Trusts (Medical Negligence and RAF) in accordance with the Trust Mandate. Responsible for taking all assets forming part of the trust into possession and to invest and administer these to the optimal benefit of the beneficiaries within the parameters of the Trust document and legislation.Job Description
Key Responsibilities
1. Trust Administration
- Administer trusts in accordance with trust deeds, legal requirements, policies and procedures.
- Ensure trust assets are correctly transferred, protected and insured.
- Manage property-related matters, including insurance, rates, taxes, rental agreements and tenant administration.
- Review and process beneficiary requests, allowances and ad hoc payments.
- Oversee trust terminations and distributions to beneficiaries.
- Maintain accurate records, correspondence and trust documentation.
2. Client Relationship Management
- Serve as the primary point of contact for trust beneficiaries, trustees and related stakeholders.
- Attend to client enquiries and requests via telephone, email, correspondence and in-person engagements.
- Provide ongoing updates regarding trust performance, investments, payments and administration.
- Ensure service delivery aligns with agreed service standards and client expectations.
3. Investment Administration
- Prepare investment proposals for trust funds in accordance with approved investment models and regulatory requirements.
- Conduct periodic reviews of trust investment portfolios.
- Present investment recommendations to Investment Committees for approval.
- Ensure implementation and monitoring of approved investment strategies.
4. Risk, Compliance and Controls
- Monitor trust risk reports, reconciliations, overdrafts and uninvested funds.
- Identify discrepancies and implement corrective actions.
- Ensure adherence to fiduciary legislation, internal policies, anti-money laundering requirements and trust governance principles.
- Maintain audit-ready records and documentation.
5. Financial Reporting
- Review and validate annual trust financial statements.
- Ensure beneficiary statements, tax schedules and supporting documents are accurate and distributed timeously.
- Maintain beneficiary records and follow up on outstanding documentation.
6. Tax Administration
- Manage SARS registrations and ongoing tax compliance for trusts.
- Submit annual and provisional trust tax returns via SARS eFiling.
- Review tax assessments and arrange payment of taxes where required.
- Maintain accurate tax records and supporting documentation.
Minimum Qualifications
- Bachelor's Degree in Law (NQF Level 6), or
- Estate and Trust Diploma, or
- Certificate in Deceased Estates Administration, or
- Advanced Estate and Trust Diploma, or
Experience Required
Essential
- Minimum 2 years' experience in a fiduciary environment as a Trust Officer or Estate Administrator.
Preferred
- 3 years' experience in trust administration or fiduciary services.
Knowledge and Skills
- Strong knowledge of trusts, fiduciary services and relevant legislation.
- Understanding of trust taxation and SARS compliance requirements.
- Investment administration and portfolio review capability.
- Client relationship management skills.
- Strong analytical and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Computer literacy and proficiency in trust administration systems.
- Ability to work independently and exercise sound judgement.
