About the role
We are looking for a highly organised and detail-oriented Operations Administrator (Cleaning Services) to provide essential administrative and operational support to our Cleaning Services team in KwaZulu-Natal.
This role is responsible for keeping the administrative side of our operations running smoothly, supporting employee onboarding and payroll processes, assisting with workforce scheduling, maintaining stock and compliance records, and providing day-to-day support to operational management.
The successful candidate will play an important role in ensuring that our operational teams have the administrative support and information they need to deliver consistent, high-quality service to our clients.
What you will bring
- Grade 12 (Matric).
- 3–5 years' experience in an administrative role, preferably within contract cleaning, facilities management or another labour-intensive operational environment.
- Previous experience in payroll administration and time and attendance systems.
- Experience in stock and inventory administration.
- Experience providing administrative support to operational managers.
- Good understanding of Health & Safety administration.
- Strong Microsoft Office skills, particularly Microsoft Excel, Word and Outlook.
- Strong organisational and time management skills.
- Excellent attention to detail and numerical accuracy.
- Good communication and problem-solving skills.
- Ability to maintain confidentiality and work effectively in a team environment.
Additional demonstrable requirements
- A National Diploma or Certificate in Business Administration, Office Administration, Human Resources or a related field will be advantageous.
- Experience working with ERP and/or payroll systems will be advantageous.
- Strong customer service orientation.
- Ability to take initiative and work independently.
- Ability to manage multiple priorities and adapt to changing operational requirements.
What you will be responsible for
- Providing comprehensive administrative support to the Cleaning Services operation and operational management team.
- Supporting the onboarding and administration of new employees, ensuring that required documentation and employee records are accurately maintained.
- Assisting with payroll administration by managing attendance and clocking information, supporting roster processes and resolving payroll-related queries.
- Supporting supervisors and operational managers with workforce scheduling and ensuring that attendance and roster information is accurately maintained.
- Coordinating stock and equipment administration, including stock counts, stock records, replenishment and investigating variances.
- Maintaining Health & Safety, statutory and compliance documentation and supporting the preparation of operational and compliance audits.
- Providing financial administration support, including credit card and petty cash reconciliations and ensuring that supporting documentation is maintained.
- Supporting client and contract administration through the preparation and maintenance of operational documentation and contract records.
- Preparing operational reports and ensuring that relevant information is accurately captured and communicated between operational sites and Head Office.
- Providing general administrative support, including filing, correspondence, meeting coordination, office supplies and ad hoc operational projects.
- Maintaining a high level of confidentiality and ensuring that administrative processes are aligned with company policies and operational requirements.
- Providing administrative and operational support to the team during periods of absence where required.
