OPERATIONS CO-ORDINATOR

We are seeking a highly organised, detail-oriented, and proactive Operations Controller to manage and coordinate key operational activities across sales, logistics, warehousing, and customer service functions.
The successful candidate will be responsible for ensuring smooth order processing, accurate administration, efficient delivery planning, and effective communication between internal departments, sales representatives, customers, and logistics partners.
This role requires someone who can multitask, work under pressure, solve problems quickly, and maintain strong attention to detail in a fast-paced operational environment.
KEY RESPONSIBILITIES
Sales Order Management
- Process and manage customer sales orders accurately and efficiently
- Review orders to ensure correct pricing, quantities, discounts, and terms are applied
- Verify customer information and ensure orders comply with company procedures
- Release approved orders for picking and dispatch
- Monitor order progress from receipt through to delivery completion
- Resolve order-related issues and communicate updates to relevant stakeholders
Pricing & Customer Account Administration
- Review pricing on sales orders and ensure alignment with approved pricing structures
- Assist with customer queries relating to pricing, orders, and account information
- Manage customer documentation and administrative requirements
- Assist with new customer credit applications and ensure required documentation is obtained
- Maintain accurate customer records and supporting documentation
Delivery Planning & Logistics Coordination
- Assist with planning daily deliveries to ensure efficient scheduling and customer satisfaction
- Coordinate with logistics teams regarding delivery requirements and priorities
- Liaise with drivers, warehouse teams, and sales representatives to ensure smooth operations
- Monitor delivery progress and assist with resolving delays or issues
- Support the coordination of returns, collections, and upliftments
Warehouse & Stock Coordination
- Monitor stock availability and assist with stock-on-hand reporting
- Communicate stock availability to sales teams and customers where required
- Assist with planning and prioritising picking activities
- Coordinate with warehouse teams to ensure orders are prepared accurately and on time
- Identify potential stock issues and escalate accordingly
Sales Representative Support
- Provide administrative and operational support to sales representatives
- Assist with customer queries, order status updates, and documentation
- Ensure sales teams have accurate information regarding stock, pricing, and delivery timelines
- Support effective communication between sales and operations departments
Credit Notes & Returns Management
- Process and manage credit note requests according to company procedures
- Investigate return requests and coordinate approvals where required
- Ensure supporting documentation is accurate and complete
- Maintain records of returns, upliftments, and adjustments
MINIMUM REQUIREMENTS
✔ Previous experience in operations, sales administration, logistics coordination, or customer service environment
✔ Strong administrative and organisational skills
✔ Experience working with sales orders, stock, deliveries, or customer accounts advantageous
✔ Computer literate with experience using ERP/accounting systems advantageous
✔ Strong Microsoft Excel and data capturing skills
✔ Ability to manage multiple priorities and meet deadlines
