What will your mission be?
We are looking for a highly trustworthy, organized and customer-oriented Operations & Customer Service Officer to join our office in Cape Town City Centre.
Your mission will be to coordinate the day-to-day operations of our Cape Town office, ensuring that customer orders, stock movements, deliveries, documentation and administrative processes are executed accurately and efficiently.
At the same time, you will be one of the main points of contact for our customers, answering routine enquiries, providing approved pricing, registering orders and ensuring that every request receives timely, accurate and professional follow-up.
This is a hybrid role that combines operations, customer service, logistics coordination, administrative support and continuous process improvement. We are looking for someone who enjoys bringing structure to the business, improving the way things work and helping both customers and colleagues succeed.
Your main responsibilities will be
- Coordinate customer orders from confirmation through to delivery.
- Monitor stock availability, shipments and deliveries, ensuring accurate follow-up.
- Work closely with warehouses, transport providers and internal teams to ensure smooth execution.
- Act as point of contact for customers, responding to routine enquiries by phone and email.
- Provide approved pricing, register customer orders and coordinate requests with the appropriate internal teams.
- Support invoice preparation and administrative follow-up together with the Finance team.
- Maintain accurate records of customers, orders, deliveries and stock.
- Prepare and maintain operational reports and Excel tracking files.
- Identify opportunities to improve processes, reporting and operational efficiency.
What do we need from you?
- At least 2 years of experience in operations, logistics, order management, customer service or a similar coordination role.
- Hands-on experience coordinating customer orders, deliveries, stock movements and operational documentation.
- Previous experience dealing directly with customers by telephone and email
- Good understanding of logistics, order fulfillment and customer support processes.
- Strong Excel skills are essential. You should feel comfortable working with formulas, lookups, pivot tables and structured reporting, and enjoy improving spreadsheets and tracking tools.
- Experience working with ERP or CRM systems will be an advantage.
- Experience in chemicals, industrial distribution or related sectors will be highly valued.
- Good written and spoken English.
- The right to work in South Africa.
