Purpose of the Role

The Operations Lead is responsible for the effective day-to-day management and operational oversight of the LPG filling and distribution site, as well as providing operational oversight of the Astron Service Station in Marburg. The role ensures that all site activities are conducted safely, efficiently, and in accordance with company policies, regulatory requirements, operational standards, and customer service expectations.

The Operations Lead will oversee site performance, manage financial and operational controls, lead and develop site teams, ensure compliance with standard operating procedures (SOPs), and drive operational excellence across all areas of the business.

Key Responsibilities

1. Site Operations Management

· Provide overall leadership and operational oversight of the LPG filling and distribution facility.

· Ensure the smooth running of all daily site activities, including LPG receiving, storage, cylinder filling, handling, dispatch, deliveries, and customer collections.

· Ensure all operational processes are executed in accordance with company procedures, safety standards, and regulatory requirements.

· Ensure optimal utilisation of site resources, equipment, vehicles, and infrastructure.

· Identify operational risks and implement preventative measures to maintain business continuity.

2. Financial Management & Transactional Controls

· Take full accountability for the management and control of all monetary transactions conducted at the site.

· Oversee daily cash sales, cash collections, and banking procedures in accordance with company financial policies.

· Ensure accurate processing and reconciliation of all cash transactions and daily cash-ups.

· Manage credit card sales processes, including card machine administration, transaction accuracy, and reconciliation of card payments.

· Monitor and manage customer credit sales, ensuring all credit transactions are conducted strictly in accordance with approved company credit policies.

· Escalate credit risks, overdue accounts, and non-compliance with payment terms to management.

· Investigate and resolve discrepancies relating to cash, stock, customer accounts, and transactional records.

3. LPG Stock & Inventory Management

· Manage and monitor LPG cylinder stock levels to ensure sufficient availability and prevent operational disruptions.

· Maintain accurate stock movement records for filled, empty, returned, and damaged cylinders.

· Ensure all stock movements are properly recorded and reconciled.

· Conduct daily operational stock checks and scheduled monthly stock reconciliations to ensure accurate inventory control, identify variances, and maintain accountability of LPG cylinders, gas stock, and related inventory.

· Monitor cylinder losses, variances, and damages, implementing corrective actions where necessary.

· Ensure compliance with company procedures relating to cylinder control, storage, and handling.

· Coordinate stock requirements with relevant departments to support customer demand.

4. Safety, Compliance & Risk Management

· Promote and enforce a strong safety culture across the site.

· Ensure compliance with LPG safety standards, legal requirements, and company health and safety procedures.

· Ensure employees adhere to all safety protocols, PPE requirements, and safe operating practices.

· Conduct regular inspections to identify unsafe practices, hazards, or operational risks.

· Ensure incidents, near misses, and safety concerns are reported, investigated, and addressed appropriately.

5. Standard Operating Procedures (SOP) Implementation & Compliance

· Drive the implementation, adoption, and consistent application of company Standard Operating Procedures across all site functions.

· Ensure employees are trained and competent in all relevant SOPs.

6. Labour & Workforce Management

· Manage the daily activities and performance of all site employees.

· Allocate duties and responsibilities to ensure effective workforce utilisation.

· Provide daily operational direction, guidance, and support to employees.

· Ensure employees comply with company policies, procedures, SOPs, safety requirements, and workplace standards.

· Monitor attendance, punctuality, productivity, and general employee conduct.

7. Customer Service & Stakeholder Management

· Ensure customers receive professional, efficient, and reliable service.

· Resolve customer queries, complaints, and operational issues in a timely manner.

· Maintain positive relationships with customers, suppliers, contractors, and internal stakeholders.

8. Distribution & Logistics Coordination

· Oversee daily LPG dispatch and delivery activities.

· Ensure delivery schedules are effectively managed and completed.

· Monitor driver and vehicle compliance with company procedures.

· Ensure loading, unloading, and transportation activities are conducted safely and efficiently.

· Coordinate with logistics teams to address delivery challenges and customer requirements.

· Ensure all required delivery documentation is accurately completed.

9. Reporting & Performance Management

· Prepare and submit accurate operational reports as required.

· Monitor key operational indicators, including sales performance, stock levels, productivity, safety compliance, and financial controls.

· Provide management with insights, recommendations, and improvement opportunities.

10. Service Station Operations Oversight – Astron Service Station Marburg

· Provide operational oversight of the Astron Service Station, ensuring compliance with company policies, procedures, and operational standards.

· Oversee daily cash controls, reconciliations, staffing matters, audit requirements, and operational compliance.

Minimum Requirements

• Matric (Grade 12) essential.
• Qualification in Logistics, Supply Chain, Transport Management, Fleet Management, or Operations Management advantageous.
• Minimum 5 years’ experience in a senior despatch, logistics, fleet control, or transport operations role.
• Previous experience within LPG, fuel, gas, manufacturing, transport, or high-volume distribution environments highly advantageous.
• Experience managing drivers, vehicle scheduling, operational coordination, and inventory control processes.
• This role is not suited to junior candidates — only experienced operational professionals will be considered.
• Strong leadership, problem-solving, and decision-making ability.
• Strong communication and coordination skills across operational teams and stakeholders.
• Proficient in Microsoft Office (Excel, Word, Outlook) and operational/despatch systems.
• Ability to work extended operational hours when required.
• Must have own reliable transport.
