Job Purpose
The purpose of the Warehouse Superintendent is to oversee all warehousing operations- under the guidance of the Operations Mangager- driving efficiency in receiving, storing, and dispatching goods. The successful incumbant will manage inventory control, ensure compliance with safety standards, and lead warehouse staff to support the organization's
Qualifications & Experience
- Matric
- Tertiary Education (Logistics Diploma or Bcom)
- 3 -5 years Warehouse Management
Key Responsibilities
Operational Requirements
- Prepare client's KPI reports daily and at the end of each month report to customer.
- Monitor warehouse capacity Weekly and record on shared Excel document.
- Monitor WMS's and address any problems/queries
- Facilitate housekeeping and monitor.
- Conduct a minimum of two Job Observations per month and forward a copy of such to SHERQ Officer
- Attend to customer queries.
- Monitor and record authorised overtime and ensure that details are forwarded to the Ops Admin Controller and Facility Manager.
- Conduct facility walkabouts and discuss findings in BATs and with SHERQ
- Monitor resources and ensure that sufficiency to meet daily operational requirements
- Ensure that Forklift Operators complete forklift checklists prior to using a machine.
- Initiate coaching, counselling and disciplinary actions for all subordinates
- Ensure maximum productivity of WH staff and subordinates.
- Monitor Labour Broker staff.
- capture overtime on WSS
- Manage departmental costs.
- Deal with unexpected/unplanned occurrences with minimum cost or loss of profit.
- Build Teamwork
Receipts
- Planning of incoming cargo, recieving of cargo and correct storage adhered to timeously
- Ensure that all vehicles and containers are unpacked within agreed transporter standing times and that the BPI Intally completed is compared to and matches the client packing list.
- Identify discrepancies and damages at point of receipt of product and communicate to the client
- Ensure that all receiving information is recorded daily for monthly billing and daily KPI reporting.
Picking
- Ensure that all daily pickings are completed within agreed times as per clients SLA's.
- Prioritize collecting customers orders and ensure that these are completed within agreed timeframes as agreed on in clients SLA's.
- Ensure that all picking stats are recorded daily for monthly billing and daily KPI reporting.
- Monitor and record picking productivity and ensure that pickers have been given targets against which they are measured. Ensure maximum picking productivity through daily tracking.
Despatch
- Ensure that Hazardous and compliance inspection checklist have been completed prior to a vehicle/truck entering the premises for collections. These checklists must be kept on file and all deviations are to be reported to the client.
- Ensure that vehicle checklists are in place prior to the vehicle being attended to.
- Ensure that all product being despatched has been correctly checked by the WH Checker and that the delivery note has been signed by the Checker, the transporter and the on-site security.
- Ensure that all product being despatched has been correctly labelled and secured onto a pallet or into a carton in order to reduce the risk of losses and damages.
- Ensure that all despatch documentation has been filed in a logical sequence for future reference and client queries.
- Ensure that all despatch information is recorded daily for monthly billing and daily KPI reporting.
Stock Counts and Cycle Counts
- Ensure that daily and weekly cycle counts are conducted according to client SLA's and requests and signed off
- Quarterly, Bi-annual and Annual stock counts are to be conducted in line with client requirements.
- Stock Take Reports are to be compiled post all inventory counts and filed
Pallet Management
- Ensure that all pallet movements are recorded daily for your specific clients and weekly recons are conducted
- Immediately report any pallet discrepancies to Facility Manager if they are identified.
- All brown pallets are to be stored in a separate centralised place.
SHERQ
- Prepare for, attend and contribute to the facility monthly Management and Safety Meetings.
- Prepare operational AR's before close of business when identified.
- Investigate all incidents by close of business when identified.
- Identify Training needed for subordinates within the job profile and discuss with Facility Manager before submitting to the Academy.
- Adhere to and comply with BIL Quality Management System, HSERQ requirements and cinduct internal audits on processes.
- Ensure that all spills are contained immediately using the right MSDS.
- Conduct weekly stacking and storage inspections to ensure that all is in order.
