About the Role
We are looking for a hands-on, organised Office Manager to run the admin and accounts side of our panel shop. This is a busy, varied role at the centre of the business you'll be the go-to person for accounts, HR, suppliers, and day-to-day office operations, and you'll step in as second-in-command on reception when needed. We need someone who can bring order to a fast-paced environment, isn't afraid of a challenge, and takes genuine pride in keeping things running smoothly.
Key Responsibilities
- Act as 2IC on reception, covering front-of-house duties whenever the receptionist is off or unavailable.
- Process invoices, payments, and account queries accurately and on time.
- Follow up on outstanding quotations, approvals, payments, and documentation to keep jobs moving.
- Manage payroll and SARS submissions (PAYE, UIF, and related statutory filings).
- Handle petty cash management and reconciliation.
- Liaise directly with suppliers on orders, accounts, and queries.
- Handle day-to-day HR duties, including basic employee administration onboarding through to offboarding and record-keeping.
- Use Veculim, Xero/Sage, or similar accounting and panel shop management software to keep records accurate and up to date.
- Identify gaps in current admin processes and implement practical, lasting fixes we want someone who can build order out of chaos.
What We're Looking For
- Previous experience working at a panel shop or motor dealership is essential.
- Hands-on experience with Veculim, Xero, Sage, or similar accounting/estimating software.
- Solid understanding of payroll processing and SARS submissions.
- A proven track record of bringing structure and process to a busy or disorganised environment.
- Strong communication skills, particularly when liaising with suppliers and handling account enquiries.
- A valid driver's license is an advantage.
- Comfortable working under pressure in a fast-paced, deadline-driven environment.
- Reliable, honest, and consistently on time this role is trusted with money, records, and people.
- Someone who's up for a challenge and enjoys taking ownership of a role rather than waiting to be told what to do.
