Parties Events Manager

Position Purpose

The Parties Events Manager is responsible for the planning, coordination, execution and overall success of all private and social events hosted at The Garden Venue. This includes birthdays, baby showers, bridal showers, kitchen teas, matric dances, anniversaries, engagement parties, corporate celebrations, year-end functions, family gatherings and other private functions.

The role ensures every event is delivered to The Garden Venue's luxury standards while achieving revenue targets, maintaining exceptional customer satisfaction and ensuring seamless communication between all departments.

Key ResponsibilitiesSales & Client Experience

• Manage party and private event enquiries from booking through to event completion.
• Conduct client consultations and venue show rounds.
• Prepare event timelines and function sheets.
• Upsell décor, entertainment, accommodation, catering and beverage packages.
• Ensure all client requirements are confirmed before the event.
• Build strong relationships with repeat clients.

Event Planning

• Coordinate all party logistics.
• Ensure all suppliers are confirmed.
• Coordinate décor requirements.
• Confirm menus with the kitchen.
• Coordinate transport where required.
• Confirm accommodation bookings.
• Ensure special requests are communicated to all departments.

Operations

• Conduct weekly planning meetings.
• Attend operational meetings.
• Ensure all events are fully prepared at least 72 hours before commencement.
• Oversee event setup.
• Supervise event execution.
• Resolve client issues immediately.
• Ensure venue standards are maintained throughout every event.

Team Management

• Manage Party Coordinators.
• Allocate responsibilities.
• Train staff.
• Conduct performance reviews.
• Ensure excellent communication between departments.
• Assist with staff scheduling when required.

Financial

• Ensure all deposits and balances are received before events.
• Monitor event profitability.
• Control event expenses.
• Assist Finance with invoicing where required.
• Ensure accurate costing on every function.

Administration

• Complete function sheets accurately.
• Maintain client records.
• Update booking systems.
• Prepare weekly reports.
• Ensure all documentation is completed correctly.

A successful Parties Events Manager consistently delivers exceptional client experiences, achieves revenue and conversion targets, ensures flawless event execution, maintains The Garden Venue's premium standards, develops a high-performing events team, and contributes to the venue's reputation as a leading destination for private and social celebrations.

Pay: R20 000,00 - R25 000,00 per month
