Role Description

The Payroll Administrator is a full-time, on-site role based in Durbanville. This role is responsible for end-to-end payroll processing, including capturing and verifying employee data, calculating earnings and deductions, and ensuring timely and accurate payroll runs. The Payroll Administrator will manage payroll taxes, garnishments, and employee benefits, while maintaining compliance with relevant legislation and company policies. Day-to-day tasks include reconciling payroll reports, resolving payroll queries, coordinating with HR and accounting teams, and maintaining secure, up-to-date payroll records. The role also involves supporting audits, implementing process improvements, and providing clear payroll-related communication to employees and stakeholders.

Key responsibilities

  • Process full monthly/weekly payroll for clients using SimplePay
  • Capture and maintain accurate employee records including new appointments, terminations, salary changes and leave
  • Calculate wages, overtime, allowances, deductions, provident fund and medical aid contributions
  • Submit and reconcile EMP201 returns (PAYE, UIF, SDL) to SARS monthly
  • Prepare and submit bi-annual EMP501 reconciliations and issue IRP5 / IT3(a) certificates
  • Ensure compliance with the Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA), and POPIA
  • Process UIF documentation including UI-19 and U-filing submissions
  • Administer leave records and ensure accuracy of leave balances
  • Prepare payroll reports and journals for the accounting team
  • Liaise with clients and employees regarding payroll queries in a professional and timely manner
  • Maintain strict confidentiality of all payroll and employee information

Qualifications:

  • Matric / Grade 12 (essential)
  • Diploma or Certificate in Payroll Administration, Human Resources, Finance or Accounting (advantageous)
  • Membership of the South African Payroll Association (SAPA) is an advantage

Experience:

  • Minimum 3 years’ hands-on payroll administration experience in a South African context
  • Proven experience processing full end-to-end payroll (not only data capturing)
  • Solid working knowledge of SARS payroll submissions (EMP201, EMP501, IRP5)
  • Experience with PAYE, UIF, SDL calculations and compliance
  • Experience in an accounting or professional services environment will be a distinct advantage

Systems:

  • Proficient in SimplePay
  • Proficient in MS Office

Skills and Competencies

  • High level of accuracy and meticulous attention to detail
  • Strong numerical and analytical ability
  • Ability to work under pressure and meet strict month-end deadlines
  • Excellent organisational and time management skills
  • Honest, trustworthy and able to handle sensitive and confidential information with discretion
  • Professional verbal and written communication skills (Afrikaans and English advantageous)
  • Self-motivated and able to work both independently and as part of a team
