People Operations Administrator
Position Title: People Operations Administrator
Reporting to: People Business Partner / Head of People
Department: People Operations & Support
Role Purpose
The People Operations Administrator provides high-quality administrative and coordination support to the People Operations & Support Team, ensuring efficient, responsive, and compliant day-to-day HR operations. The role enables smooth people processes, accurate record-keeping, compliance with regulatory requirements, and effective support for managers and employees.
Key Responsibilities1. HR Administration & Coordination
- Manage People/HR inboxes and respond to employee queries professionally and timeously.
- Maintain accurate employee records, personnel files and documentation.
- Coordinate onboarding and offboarding administration.
- Assist with immigration and visa-related administration.
- Maintain and update employee and staff information lists.
- Draft routine employee correspondence and letters.
2. Payroll & Data Support
- Support the coordination and validation of payroll information.
- Track employee changes affecting remuneration, benefits and payroll.
- Ensure payroll-related documentation and changes are accurately recorded and submitted.
- Assist with HR reporting, data checks and audits.
3. Compliance Tracking
- Track visas, SACE registrations, SAQA evaluations, police clearances and other regulatory or employment-related requirements.
- Maintain compliance registers and supporting documentation.
- Monitor expiry dates and follow up on outstanding requirements.
- Capture and maintain employee information on relevant HR and education systems, including CEMIS, ATLANTIS and other applicable platforms.
4. Recruitment & Operational Support
- Provide recruitment administration and coordination support, including interview scheduling and candidate communication.
- Assist with People projects and operational initiatives.
- Maintain accurate filing, record-keeping and data integrity.
- Prepare routine HR documentation and administrative reports.
- Provide general administrative support to the People Operations & Support Team.
5. HR Events & Employee Support
- Coordinate People-related events and initiatives, including police clearance processes, wellness sessions, pension and medical aid briefings.
- Manage logistical arrangements, communications and participation tracking.
- Support employee engagement and information sessions as required.
6. Additional Responsibilities
- Undertake any other reasonable duties and responsibilities that may be assigned from time to time by the Head of People or People Business Partner, consistent with the general nature, scope and level of the role and the operational requirements of the School.

- Working knowledge of HR processes and administration.
- Strong record-management and systems capability.
- Effective written and verbal communication skills.
- Ability to prioritise and manage multiple deadlines.
- Proactive, reliable and solution-focused approach.
- High level of discretion and confidentiality when handling employee information.
Minimum Qualifications & Experience
- Matric / Grade 12 required.
- HR-related or other relevant tertiary qualification advantageous.
- 2–4 years previous experience in HR administration, People Operations or office administration.
- Experience working with HR systems, employee data and compliance processes advantageous.
- Proficiency in Microsoft Office, particularly Outlook, Word and Excel.
