About the Role
This is not a typical admin job.
The right person for this role will act as the right hand of a busy and high-performing dental practice owner. You will protect his time, clear his path, and ensure nothing falls through the cracks — so he can operate at his highest level.
What You'll Be Responsible For
Email & Communication Management
Triage, label, and manage a high-volume inbox across multiple domains
Draft and send responses on behalf of the principal with appropriate tone and authority
Follow up on outstanding threads and ensure no communication is dropped
Calendar & Scheduling
Manage a complex calendar across personal, professional, and business commitments
Schedule meetings, appointments, and calls
General Administration
Manage task lists and ensure priorities are tracked and actioned
Prepare documents, letters, and correspondence to a high standard
Assist with research, supplier follow-ups, and administrative coordination across multiple business entities
Systems & Process Support
Work within existing tools (and help improve them) — including project management platforms, shared drives, and AI-assisted workflows
Flag bottlenecks and proactively suggest improvements to how things are run
Who You Are
Exceptionally organised — you instinctively create order out of chaos and never need to be chased
Tech-comfortable — you are at ease with email platforms, calendar tools, Google Workspace or Microsoft Office, project management apps (e.g. Jira), and increasingly confident using AI tools like ChatGPT or Claude
A strong communicator — your written English is polished and professional; you can represent a principal with warmth, authority, and discretion
Proactive, not reactive — you anticipate needs, ask smart questions, and take initiative rather than waiting to be directed
Discreet and trustworthy — you handle sensitive business and personal information with complete confidentiality
Self-directed — you are comfortable working independently in a remote setting and are accountable for your own output without needing micromanagement
Fast and accurate — you do things once, correctly, and with a high standard of attention to detail
Minimum Requirements
Experience in a PA, EA, or senior administrative type role
Proven ability to manage a busy inbox and multi-person calendar independently
Proficiency with Google Workspace and/or Microsoft Office (Word, Excel, Outlook)
Reliable remote work setup: dedicated workspace, stable internet, laptop/desktop
Excellent written and verbal communication in English
Advantageous
Experience supporting a business owner, entrepreneur, or high-performing executive
Familiarity with AI tools and an appetite to integrate them into daily workflows
Experience with project management platforms
Prior experience in healthcare, professional services, or a multi-entity business environment
