Job description
The Cape Town Zombie Walk is an iconic, large-scale annual charity event and festival that brings thousands of participants together to support local animal welfare initiatives. Managing an event of this scale requires intricate planning, local government compliance, city vendor partnerships, and flawless execution.
We are seeking a sharp, highly organized, and proactive Personal Assistant to work directly alongside the event leadership team in Cape Town. In this role, you will be the operational right hand—handling high-level scheduling, coordinating city and venue logistics, managing critical documentation, and ensuring the background planning for our annual event runs seamlessly.
Key Responsibilities:
- Logistics & Schedule Coordination: Manage the event director’s daily calendar, prioritize critical operational deadlines, and schedule meetings with city officials, sponsors, and vendors.
- Permit & Compliance Administration: Assist with the preparation, filing, and tracking of vital event documentation, including municipal city permits, safety approvals, and venue agreements.
- Vendor & Sponsor Liaison: Act as a reliable point of contact for external partners—routing inquiries, distributing event checklists, and tracking vendor requirements (food trucks, security, medical teams).
- Information & Data Management: Maintain and update highly accurate internal spreadsheets (Excel/Google Sheets) for budget tracking, charity donation logs, and volunteer databases.
- On-Site Operational Support: Provide direct administrative and logistical coordination on-site during event setup days, vendor load-ins, and the main event footprint in Cape Town.
Requirements & Qualifications:
- Personal Assistant or Project Experience: Proven track record as a Personal Assistant, Executive Assistant, or Event/Project Coordinator (experience handling logistics or corporate administration is highly valued).
- High-Level Organizational Skills: A natural talent for structure, with the ability to manage moving parts and tight timelines without cracking under pressure.
- Technical Proficiency: Competence navigating Microsoft 365 (specifically Excel, Word, and Outlook) and cloud-based organization tools (Google Workspace).
- Polished Communication: Exceptional written and verbal English communication skills, with a professional and assertive tone required for coordinating with external stakeholders and city vendors.
- Location & Mobility: Must be based in the Cape Town region and possess a valid driver’s license and reliable transport to assist with local on-site coordination and meetings when required.
