Job description
Purpose of the Job
The Processor plays a pivotal role in ensuring operational efficiency by executing core tasks across documentation, reporting, compliance, and system use. Working within platforms such as Embrace, Freightware, and Microsoft Office, the position is responsible for maintaining accurate records, processing invoices, generating essential documentation, and supporting warehouse and operational functions. The role also encompasses daily, weekly, and monthly reporting, adherence to Standard Operating Procedures (SOPs), and compliance with health, safety, and quality standards.
Key Responsibilities:
Documentation and Operational Processing
- Execute operational tasks with precision and within required timeframes, ensuring compliance with company standards.
- Track invoices within the system, verify their status, and initiate follow‑ups where discrepancies or delays occur.
- Provide clear and timely communication to warehouse staff when specific operational requirements must be met.
- Address customer queries courteously, providing accurate information and escalating matters to the appropriate level when necessary.
- Maintain document control by filing records accurately, ensuring accessibility for audits and operational reference.
- Generate, print, and distribute documentation required for daily operational processes, ensuring completeness and accuracy.
- Capture data into relevant systems when required, supporting operational reporting and compliance.
- Perform wage‑related processing tasks in line with operational requirements, ensuring confidentiality and accuracy.
- Order stationery supplies in accordance with departmental needs, ensuring availability without excess.
Reporting and Information Control
- Prepare and update operational reports on a daily, weekly, and monthly basis, aligned with business requirements (Non-Conformance Report, Direct Delivery Report, FMD Report, Portable Electrical Equipment Inspection Report)
- Verify the accuracy of data inputs and outputs to ensure consistency in reporting.
- Provide reports to relevant stakeholders to support informed decision‑making.
Standard Operating Procedures and Systems
- Apply all Standard Operating Procedures (SOPs) consistently to safeguard operational integrity.
- Remain proficient in the use of relevant business systems, ensuring accurate processing of operational tasks.
- Participate in training and refresher sessions to maintain up‑to‑date knowledge of system functionality.
Quality, Health & Safety, and KPI Compliance
- Track and report on Key Performance Indicators (KPIs) monthly, highlighting variances and implementing corrective actions where required.
- Raise Non‑Conformance Reports (NCRs), Non‑Conforming Products (NCPs), and Improvement Opportunities (IOs) daily, encouraging active participation in continuous improvement.
- Monitor NCRs, NCPs, and IOs to ensure resolution and closure within the required lead time of five working days.
- Uphold occupational health and safety standards in accordance with legislation and company requirements.
- Conduct monthly safety checks, document findings, and ensure corrective actions are implemented.
- Maintain daily housekeeping standards to promote a clean, safe, and efficient working environment.
General Operational Support
- Assist in operational functions as required, ensuring smooth daily workflows.
- Provide administrative support across departments when necessary to maintain operational continuity.
- Uphold professional conduct in all duties and interactions, representing the company positively.
Minimum Requirements:
- Grade 12
- 2+ years’ experience in an operational or processing role within a Warehousing environment.
- Intermediate proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Proficiency in ERP systems (Embrace).
- Proficiency in Freightware V7.
Skills Required
- Strong communication skills to liaise effectively with internal teams and external stakeholders.
- Proven troubleshooting skills to resolve documentation or reporting discrepancies.
- Solid data entry skills to capture information with speed and precision.
- Effective organisational skills to prioritise multiple tasks under time constraints.
- Competence in maintaining accurate records to support compliance and audit readiness.
- Ability to interpret and apply SOPs consistently across operational processes.
- Analytical skills to ensure accuracy in reporting and identify improvement opportunities.
- Intermediate proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Proficiency in ERP systems (Embrace).
- Proficiency in Freightware V7.
