Procurement Officer

About the Role

Energi Solutions at Africa (Pty) Ltd. is seeking an proactive, experienced and detail-oriented Procurement Officer to join our Value Chain team.

The successful candidate will be responsible for managing the end-to-end procurement process, ensuring the timely sourcing and purchasing of goods and services while achieving cost efficiency, maintaining quality standards, and ensuring compliance with company policies and procedures. This role requires a strong understanding of procurement best practices, supplier relationship management, inventory coordination, and commercial negotiations within a project-driven environment.

Key Responsibilities

• Manage the full procurement cycle from requisition through to purchase order issuance and delivery.
• Source local and international suppliers for materials, equipment, consumables, and services.
• Obtain and evaluate supplier quotations based on pricing, quality, lead times, and technical compliance.
• Negotiate pricing, commercial terms, payment conditions, and delivery schedules with suppliers.
• Develop, maintain, and evaluate supplier relationships to ensure consistent service delivery and value for money.
• Monitor supplier lead times and proactively address potential delivery delays.
• Ensure procurement activities comply with company policies, procedures, and delegated authority levels.
• Prepare and issue purchase orders accurately and in a timely manner.
• Track outstanding purchase orders and ensure deliveries are received within agreed timelines.
• Resolve supplier queries, invoice discrepancies, and delivery issues in collaboration with the Finance department.
• Coordinate with Project Managers to understand project procurement requirements and delivery schedules.
• Work closely with warehouse and inventory personnel to optimise stock levels and minimise shortages.
• Assist with inventory planning, stock replenishment, and materials management.
• Support import procurement activities and liaise with freight forwarders and customs agents where required.
• Maintain accurate procurement records, supplier documentation, and contract files.
• Assist with supplier onboarding and compliance documentation.
• Conduct market research to identify new suppliers and cost-saving opportunities.
• Analyse procurement spend and recommend initiatives to improve efficiencies and reduce costs.
• Prepare procurement reports, supplier performance metrics, and procurement analytics.
• Support RFQ, tender, and quotation processes.
• Ensure compliance with Health, Safety, Environmental and Quality (SHEQ) requirements throughout procurement activities.
• Perform additional procurement, supply chain, and administrative duties as required.

Minimum Requirements

• Diploma or Bachelor's Degree in Supply Chain Management, Procurement, Logistics, Business Management, or a related qualification.
• Minimum of 5 years' procurement or supply chain experience within an engineering, energy, construction, manufacturing, or project-based environment.
• Proven experience procuring technical equipment, electrical components, mechanical equipment, and engineering materials.
• Sound knowledge of procurement principles, sourcing strategies, supplier management, and commercial negotiations.
• Experience working with ERP systems and procurement software.
• Advanced proficiency in Microsoft Excel and the Microsoft Office Suite.
• Experience with inventory and stock management.
• Knowledge of import/export procurement processes will be advantageous.
• Knowledge of Incoterms and international procurement practices will be advantageous.
• A valid driver's licence will be advantageous.
