Role Description

Cloudbox is seeking a Procurement Specialist based in Cape Town to join our Project Management Team. This role reports directly to the Head of Projects and Procurement and works closely with our team based in New York. The primary responsibility of this role is the onboarding and delivery of projects for US-based clients. The successful candidate must be a confident communicator, comfortable engaging directly with senior client stakeholders, and will be required to work shifts aligned to the US workday from our Pinelands, Cape Town office.

  • Assist the sales and projects teams to source and order IT hardware and services.
  • Develop and maintain suitable systems for executing and tracking procurement activities.
  • Conduct pricing and quality research to find the best deals for Cloudbox and clients.
  • Interact with our internal experts to identify the correct specifications for procured hardware.
  • Place orders on suppliers in the countries where our clients are located.

    • Telephony and Video Conferencing hardware.
    • Networking and infrastructure hardware.
    • Telephony and connectivity services.
    • SaaS solutions
    • Anything else required to satisfy internal and external needs.
  • Track, manage and report on delivery progress.
  • Chase suppliers where deliveries are delayed.
  • Arrange suitable couriers where required.
  • Liaise with clients to provide status updates.
  • Liaise with Cloudbox accounts team to ensure that all expenditure is accounted for and billed on to clients where required.
  • Maintain internal inventory covering staff and spare equipment.
  • Maintain adequate documented records of items procured, vendors used, dates delivered, alternatives considered, warrantees offered.
  • Manage returns and exchanges of faulty or damaged items.
  • Always maintain professional relationships with clients and vendors.
  • Decline and report any inappropriate approaches or offers intended to manipulate the procurement process.
  • Gifts offered by suppliers should be declined, unless approved by an appropriate manager.
  • Answer client queries and assist with straightforward client quotations for hardware and software.
  • Provide general administrative support to the account management team as required.

Qualifications (Advantageous)

  • Procurement diploma, certificate, or short courses
  • Microsoft (or other) certifications are an advantage.

Experience

5+ years' experience in a technology organisation, such that IT hardware, software and service terminology is familiar. Previous experience in a high-pressure, fast-moving procurement role is an advantage.

Location

This role is based in Cape Town South Africa and will be primarily office based.

Working Hours

The successful candidate will be expected to a standard 45-hour week Monday to Friday (12pm to 9pm). Some flexibility may be required from time to time as workload, project requirements or to support our clients in different time zones.
