REPORTS TO: Production Manager
LOCATION: Paarden Eiland, Cape Town
EMPLOYMENT TYPE: Permanent, Full-Time (Probationary Period)

EDS Switchboards is an ISO 9001:2015-certified Siemens Approved Technology Partner specialising in the design, engineering, manufacturing, wiring and testing of low-voltage switchgear and control panels. Our integrated Paarden Eiland facility covers the full production cycle — from sheet metal and copper manufacturing through to assembly, quality control and final testing. Our product range includes Distribution Boards, Motor Control Centres, PLC/RIO Panels, Control, Generator, Synchronisation and Power Factor Correction Panels, custom sheet metal, and Containerised Substations.
PURPOSE OF THIS ROLE:
The Production Administrator is the administrative anchor of the EDS production environment. Reporting directly to the Production Manager, this individual ensures that all documentation, scheduling, job tracking, supplier coordination and office management functions run accurately and without disruption. The role demands a confident, assertive personality — someone who holds people accountable, follows up without hesitation, and takes full ownership of their responsibilities with minimal supervision.
KEY RESPONSIBILITIES
1. Delivery Note Management
- Receive, capture, process and file all inbound and outbound delivery notes accurately.
- Match delivery notes against job cards, purchase orders and job files; resolve discrepancies promptly.
- Maintain a current and accurate delivery note register accessible to the Production Manager at all times.
- Follow up on outstanding or unconfirmed deliveries and escalate unresolved issues.
2. Driver Scheduling & Logistics Coordination
- Compile and distribute the daily driver schedule, prioritising collections and deliveries in line with production requirements.
- Communicate schedules clearly to drivers and confirm completion of all trips.
- Maintain vehicle trip logs and ensure all supporting documentation is in order.
- Report delays, exceptions or deviations to the Production Manager immediately.
3. Job Cards & Production Paperwork
- Issue, track, update and close job cards in accordance with EDS procedures and quality requirements.
- Ensure all job-related paperwork is correctly completed and signed off before job closure.
- Follow up assertively with supervisors and team leaders on incomplete or outstanding entries.
- Maintain a well-structured physical and electronic filing system for all production documentation.
4. Live Production Sheet Accuracy
- Monitor and update the live production tracking sheet in real time, ensuring job functions, employee allocations and task statuses are recorded correctly.
- Liaise with the Workshop Manager and supervisors daily to confirm job assignments and function entries.
- Identify and flag incorrect allocations, missing entries or discrepancies to the Production Manager without delay.
- Produce daily or weekly production summaries from the live sheet as required.
5. Production Office Management
- Maintain the production office in a clean, orderly and professional state at all times.
- Manage office supplies, stationery and consumables — track stock levels and reorder proactively.
- Implement and uphold an efficient document filing and retrieval system.
- Ensure the office environment supports the smooth and professional operation of the production team.
6. Supplier Liaison & New Supplier Development
- Maintain and regularly update the approved supplier register for workshop maintenance items, tooling, machine parts and related consumables.
- Contact existing suppliers to obtain quotations, confirm lead times and follow up on outstanding orders.
- Proactively identify and approach potential new suppliers to expand EDS’s supplier base and ensure competitive pricing.
- Obtain a minimum of three competitive quotations for non-stock items in line with EDS procurement policy.
- Coordinate with the Production Manager and Finance for purchase approvals and order placement.
7. Ad Hoc & General Support
- Provide general administrative support to the Production Manager and production team.
- Assist in preparing production reports, meeting agendas and related documentation.
- Attend and minute production meetings as required.
- Execute any reasonable ad hoc instructions from the Production Manager or senior management.
MINIMUM REQUIREMENTS
1. Education
- Matric / Grade 12 (essential).
2. Experience
- Minimum 2–3 years proven experience in an administrative role, preferably within a manufacturing, engineering or production environment.
- Hands-on experience with job cards, delivery notes and production documentation is a strong advantage.
3. Technical Skills
- Proficient in Microsoft Office Suite — particularly Excel, Word and Outlook.
- Comfortable working with live tracking spreadsheets and shared digital document systems.
- Accurate and fast data-capture ability.
4. Competencies & Personal Attributes
- Assertive and authoritative by nature — able to follow up firmly with supervisors, drivers and suppliers and ensure compliance without being prompted.
- Highly organised with exceptional attention to detail and accuracy.
- Proactive self-starter who manages their own workload and takes initiative.
- Resilient under pressure; comfortable in a fast-paced production environment.
- Strong verbal and written communication skills in English.
- Honest, reliable and professional at all times.
- Collaborative — able to work effectively across departments and seniority levels.
