Programme Assistant

Place: Stellenbosch, South Africa

Term: September – November 2026

The Woordfees is looking for an organised and proactive Programme Assistant to provide essential administrative support to our programme team. This position is ideal for a systematic planner who can take ownership of key logistical functions, including artist liaison, travel and accommodation arrangements, and payment administration.

Responsibilities include:

• Providing administrative support to the programme team and programme coordinators.
• Collecting and processing contracts and invoices, and uploading payments to the system.
• Coordinating flight bookings by liaising between artists and airlines.
• Coordinating accommodation by liaising between artists and guesthouses, including communicating accommodation details to artists.
• Preparing and distributing artist information packs and correspondence.
• Managing the accreditation system during the festival.
• Managing the artist sales system during the festival.
• Assisting with the reconciliation process after the festival.

Job Requirements

Qualifications & Skills

• A minimum of three years' relevant work experience in an administrative, logistics, or project coordination role. Experience in festivals, the arts, or events industry will be a strong advantage.
• A valid driver's licence.
• A post-school qualification (diploma or degree). A qualification in administration, the arts, or a related field will be advantageous.
• Excellent written and verbal communication skills in both Afrikaans and English.
• Strong computer skills and the ability to quickly learn new digital systems.
• Experience with Airtable will be advantageous.

• Excellent time management skills, with the ability to work accurately and pay close attention to detail while managing multiple logistical tasks simultaneously.
• The ability to perform effectively under pressure and meet strict deadlines, particularly in the lead-up to and during the festival.
• Approachable, patient, and professional in interactions with artists and service providers.
• Willingness to work extended hours and weekends when required.
