We are looking for a highly organised, proactive and detail-oriented Programme Operations Coordinator to join our team. About the Role
The Programme Operations Coordinator is responsible for coordinating the operational delivery of multiple learning and development programmes from planning through to completion. Working closely with clients, facilitators, suppliers and the internal team, you will ensure that every programme is professionally coordinated, all documentation is accurate, and delegates enjoy a seamless learning experience. This role requires someone who is proactive, highly organised, solutions-focused and able to manage multiple priorities without compromising on quality.
Key Responsibilities
Programme Coordination
- Coordinate the operational delivery of multiple training programmes simultaneously.
- Manage programme logistics from planning through to completion.
- Coordinate facilitators, venues, suppliers and service providers.
- Arrange travel, accommodation and venue requirements where applicable.
- Maintain master training schedules and operational trackers.
- Monitor programme readiness and ensure all activities are completed on time.
Programme Administration
- Prepare and quality-check all client-facing documentation including:
- Training agendas
- Delegate registers
- Attendance records
- Certificates
- Name boards
- Evaluation forms
- Learning materials
- Maintain accurate programme records and electronic filing systems.
- Capture operational information and support reporting requirements.
Operational Delivery
- Prepare training venues before programme commencement.
- Produce and manage online coaching sessions
- Ensure all learning materials are printed, packed and available.
- Support facilitators throughout programme delivery.
- Coordinate graduation and certification activities.
- Manage programme logistics during delivery and resolve operational issues proactively.
- Facilities management
Quality Assurance
- Perform detailed quality checks before any documentation is shared with clients or delegates.
- Verify delegate information, programme details and scheduling accuracy.
- Ensure all programme documentation meets organisational quality standards.
- Continuously identify opportunities to improve operational efficiency and programme delivery.
Minimum Requirements
- Diploma or Degree in Business Administration, Project Management, Events Management, Learning & Development or a related field (advantageous).
- Minimum 3–5 years experience in programme coordination, project administration, learning administration or operations.
- Advanced Microsoft Office skills, particularly Excel, Word and Outlook.
- Excellent written and verbal communication skills.
- Strong planning and organisational ability.
- Ability to manage multiple priorities in a fast-paced environment.
- Valid driver's licence and own reliable transport.

Employment Type: 12 – 24 month Contract
