VACANCY: KUYAKHANYA PROJECT ADMINISTRATOR X2

About the Role

TREE is seeking two organised and detail-oriented Project Administrators to support the Kuyakhanya Project. The role involves managing learner records, providing administrative and nutrition support, and assisting with monitoring and evaluation (MERL) data to ensure accurate record-keeping, compliance and effective project implementation.

Location: TREE Head Office, Durban
Reports to: Project Manager
Contract: Fixed-term
Working Hours: 40 hours per week, Monday–Friday (08:00–16:00) Working hours may vary according to project requirements. Where employees are required to work outside of normal working hours, Time Off in Lieu (TOIL) will be provided in accordance with TREE’s policy.

Minimum Requirements

· Relevant qualification in Administration or a related field.

· 2-3 years of experience in data capturing/administration

· Proficiency in Microsoft Office, particularly Excel and Word.

· Ability to communicate effectively in English and isiZulu.

· Strong organisational and time-management skills.

· Excellent attention to detail and accuracy.

· Ability to manage multiple priorities and meet deadlines.

Key Responsibilities

1. Project Administration and Learner Records Management (50%)

  • Prepare and print learner registration packs, including registration, indemnity and assent forms.
  • Create and maintain an accurate learner database containing all required learner information and supporting documentation.
  • Ensure learner records include the required registration forms, indemnity forms, assent forms, birth certificates, Road-to-Health cards and caregiver ID copies.
  • Scan and electronically file learner documentation according to the relevant district.
  • Follow up telephonically with parents or caregivers to obtain verbal consent where required.
  • Provide telephonic support to Community Play Facilitators (CPFs) to assist with project administration and compliance requirements.
  • Coordinate the procurement and distribution of stationery for CPFs.
  • Complete and submit monthly timesheets accurately and timeously.
  • Perform other reasonable duties as requested by management.

2. Nutrition Support (25%)

  • Prepare and submit bulk quarterly porridge projections and orders to IRD.
  • Process and submit CPF-specific monthly porridge orders.
  • Print and prepare porridge delivery notes.
  • Maintain accurate records of nutrition orders and supporting documentation.

3. Monitoring and Evaluation Support (25%)

  • Support the MERL team with the weekly cleaning and verification of learner attendance data collected through Kobo.
  • Support the weekly cleaning and verification of nutrition and feeding data collected through Kobo.
  • Identify missing, incomplete or incorrect information and follow up where necessary.
  • Recapture missing or incorrect data resulting from network or device-related challenges or data-capturing errors.
  • Assist in maintaining accurate, complete and reliable project data for monitoring, reporting and compliance purposes.
