Job description
Key Responsibilities
Project Coordination and Administration
- Provide administrative support throughout the project lifecycle.
- Coordinate project activities, meetings, timelines, and deliverables.
- Assist with project planning and scheduling activities.
- Track project milestones and monitor progress against timelines.
Documentation and Record Management
- Maintain project documentation, records, and filing systems.
- Ensure proper document control and version management.
- Prepare project-related correspondence, reports, and presentations.
- Maintain project databases and tracking systems.
Meeting and Communication Support
- Schedule project meetings and coordinate logistics.
- Prepare agendas, minutes, and action trackers.
- Follow up on action items and project deliverables.
- Facilitate communication between project stakeholders.
Reporting and Monitoring
- Compile project status reports and progress updates.
- Monitor project timelines and escalate delays or risks where necessary.
- Assist with project data collection and reporting requirements.
- Maintain accurate records of project activities and outputs.
Financial and Procurement Administration
- Assist with project budgets and expenditure tracking.
- Process purchase requests, invoices, and procurement documentation.
- Monitor project-related expenses and administrative costs.
- Support financial reporting and reconciliation activities.
Stakeholder Coordination
- Liaise with internal departments, service providers, and project stakeholders.
- Support coordination between project teams and operational departments.
- Ensure project information is communicated effectively.
Compliance and Quality Support
- Ensure project documentation complies with organisational procedures.
- Support project audits and compliance requirements.
- Monitor adherence to project processes and standards.
Minimum Requirements
Qualifications
- Diploma or Degree in Project Management, Business Administration, Management, or related field advantageous
- Project Management certification advantageous
Experience
- Minimum 2–4 years administrative experience
- Experience supporting projects or project teams advantageous
- Experience with project coordination and reporting beneficial
Knowledge Requirements
- Project management principles
