Job description
Purpose
The Project Coordinator is a professional who will assist the Director for Special Projects to monitor and coordinate the day-to-day operations of the assigned Talent Pipeline Programme (TPP) project. The TPP is one of the priority programmes within the Office of the Vice-Chancellor, which is a pre-university preparatory programme for learners in Grades 10 to 12 and is part of the SPU Student Recruitment Strategy.
Minimum Requirements
- Bachelor's degree (NQF 7) in Business Administration, or related field
- Project Management certification
- 3-5 years of related experience
- MS Office Suite -intermediate level
- Valid Drivers
Recommendation
- Proven work experience as a Project Coordinator or similar role
- Experience in project management, from conception to delivery
- An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans
- Solid organizational skills, including multitasking and time-management
- Strong client-facing and teamwork skills
- Familiarity with risk management and quality assurance control
- Intermediate skills set on working with Microsoft Projects and Microsoft Planner
- PMP / PRINCE2 certification is an added advantage
Duties
- Document Management
- Make relevant project documents available for scheduled meetings
- Develop and maintain a document management/filing system
- Archive project documents
- Compile data and prepare documents for consideration and presentation by Executive Management
- Photocopying and collating official project documents
2. Risk Management
- Analyse Project risks
- Risk management coordinated
- Identify and Prepare Monthly Risk Registers for each project and issue to the SPU Risk Manager.
- Ensure proactive action and implementation to resolve any risk that manifests
3. Purchase Orders and Procurement
- Oversee project procurement
- Ordering of project resources
- Maintaining stock required for the project
- Implement and maintain a relevant document management system
- Receive purchase order requests from relevant parties
- Ensure that all PO requests are signed off by the designated signatories and obtain approval
- Matching up of PO request and original PO from ITS
- Communicate with all vendors regarding outstanding deliveries and payment procedure
- Financial Administration
- Create and maintain the budget and track
- Processing accounts related to office equipment usage
- Place orders for office consumables
- Monitor budgetary transactions
- Manage expenses against the project budget.
- Report on expenditure
- All projects within the TPP are completed on time, within budget and meet high quality standards.
5. Health and Safety
- Assist in identifying health, safety, and security risks
- Inform health and safety representatives and Director about any health and safety issue
- Ensure health and safety representatives are appointed and properly trained
- Ensure a safe environment for all students and staff
- Ensure that health and safety rules and procedures are adhered to
- Ensure that staff are aware of emergency procedures and policies
6. Client/Stakeholder Liaison
- Monitor project progress and handle any issues that arise
- Act as the point of contact and communicate project status to all participants
- Help build positive relations with all stakeholders
- Oversee the arrangements for all TPP-related meetings and events.
7. Monitoring, Evaluation, and Reporting
- Relevant strategic and project reports as and when required
- Adherence to SPU policies and procedures
- Research and implement best practices
- Communicate and consult with relevant stakeholders
