Job description
A Commercial Property Administrator supports property managers by handling daily administrative, financial, and operational tasks for commercial real estate portfolios. Key responsibilities include tenant communication, lease administration, rent collection, utility management ,maintenance coordination, and preparing financial reports to ensure high-quality, efficient property management.
Key Responsibilities & Duties
- Tenant Management & Communication: Acts as the primary point of contact for tenant inquiries, complaints, and requests, fostering positive relationships.
- Lease Administration: Manages the lease lifecycle, including preparing, tracking, and renewing agreements, obtaining signatures, and maintaining accurate tenant databases.
- Financial & Accounting Support: Assists with rent collection, arrears management, expense tracking, and conducting annual operating cost reconciliations.
- Property Operations & Maintenance: Coordinates maintenance requests, schedules repairs with vendors, and conducts site inspections to ensure properties are well-maintained.
- Reporting & Documentation: Prepares monthly, quarterly, and annual financial reports, budgets, and operational updates for property owners.
- Compliance: Ensures adherence to building codes, safety regulations, and legal standards.
Required Skills and Qualifications
- Software Proficiency: Experience with property management software (e.g.MRI, weconnectU, TPN, redrabbit).
- Communication: Excellent written and verbal communication skills.
- Organization: Strong attention to detail, accuracy, and multitasking abilities.
- Financial Acumen: Basic understanding of accounting principles, budgeting, and ledgers.
- Education/Experience: a degree/diploma in business, finance or real estate and prior administrative experience in commercial or residential property will be an advantage
