Job description

Role Overview

The Property Administrator is responsible for supporting the day-to-day management of properties across the portfolio. This includes managing occupancy, liaising with tenants, handling documentation, onboarding new properties, compliance and maintenance, and maintaining accurate tenancy and inspection records. The role is a hybrid role ensuring that all administrative and operational aspects of property coordination are carried out efficiently and in full compliance with internal procedures.

Hours: UK hours 9am – 5pm, this may change dependent on operational needs.

Remuneration: Gross R30 000 per month

Key Responsibilities:

Tenancy Administration & Liaison

  • Act as the primary point of contact for tenant communications and liaison for a specific number of properties.
  • Complete and issue licence agreements for all new tenancies within the designated properties.
  • Prepare and submit UC47 forms to ensure correct Housing Benefit claims and Service Charges are collected.

Occupancy & Issue Management

  • Monitor and manage occupancy levels across allocated properties.
  • Address tenant issues, including breaches of agreement and initiating eviction procedures where necessary.
  • Maintain and manage accurate key registers for all properties.
  • Property Onboarding & Inspections
  • Support the onboarding of new properties into the portfolio, ensuring all documentation and systems are updated.
  • Maintain detailed records of property inspections and undertake inspections as required.
  • Liaise with Tenancy Support Officers to ensure tenancy agreements are all in place along with service charges being collected.

Allocations

  • Managing the allocation process from referral through to move-in across TA, Step Down, and SEA
  • Receiving and reviewing TA referrals, and coordinating placements based on urgency, suitability, and availability
  • Managing all TA, SD, and SEA referrals on the Airtable dashboard, ensuring everything is up to date and tracked correctly
  • Sending daily TA availability emails to partners and stakeholders
  • Arranging and confirming move-in dates and times with applicants, councils, and internal teams
  • Assessing applicant suitability based on needs, risk, and property availability
  • Coordinating and arranging viewings with Housing Support Officers (HSOs)
  • Acting as the main point of contact for applicants, councils, and internal teams throughout the process
  • Overseeing onboarding via PfP, including supporting applicants with applications and collecting required documents (ID, Right to Rent, bank statements, etc.)
  • Preparing and issuing offer letters, managing licence agreements via PandaDoc, and coordinating deposits and first month’s rent with local authorities

Maintenance & Compliance

  • Oversee all maintenance and compliance matters for the Temporary, Permanent, property portfolio.
  • Manage HMO Licensing & Temporary Exemption Notices for all relevant properties.
  • Maintain and manage the annual property compliance register, including scheduling of required inspections and works.
  • Liaise with Property Owners and Stakeholders when completing and planning compliance works.
  • Log, allocate, and monitor all maintenance requests from start to completion.
  • Ensure jobs are completed in a timely manner and recorded accurately within internal systems.

Pay: R30 000,00 per month
