Job Title: Property Management Coordinator – US HOA Portfolio (Remote)
Location: Cape Town, South Africa (Remote – supporting U.S. portfolio)

Compensation: R145 – R165 per hour (based on experience)
About Us
We are a U.S.-based homeowners association (HOA) management company overseeing a portfolio of residential communities. Our focus is on operational excellence, financial discipline, and high-quality service to boards and homeowners.
We are expanding our team and seeking a Property Management Coordinator in Cape Town to support day-to-day operations across multiple associations.
Role Overview
This role is the operational backbone of our HOA management team. You will work directly with senior managers to coordinate vendors, board communications, and ensure smooth execution of property operations.
This is NOT an entry-level role—we are looking for someone who can take ownership, stay organized, and follow through consistently.
Key Responsibilities
- Coordinate and track maintenance and vendor work orders across multiple communities
- Communicate with homeowners, board members, and vendors in a professional manner
- Assist with HOA budgets, invoices, and expense tracking
- Monitor and follow up on delinquent accounts (assessments / levies)
- Prepare and organize board meeting materials and reports
- Maintain accurate records, logs, and compliance documentation
- Assist with reserve study tracking and capital project coordination
Required Qualifications
- 2+ years experience in property management, HOA management, OR operations/admin support
- Strong organizational and follow-through skills
- Excellent written and verbal English communication
- Proficiency in:
- Microsoft Excel
- Email and document management systems
- Ability to manage multiple properties, deadlines, and stakeholders
Strongly Preferred
- Experience with HOA / community association management
- Familiarity with:
- Budgets, assessments, and owner communications
- Basic accounting or bookkeeping knowledge
- Experience coordinating vendors and maintenance projects
Working Hours
- Must be able to overlap with U.S. business hours (Pacific Time) for at least 4 hours a day
- Flexible structure, but reliability and responsiveness are critical

- Misses deadlines or fails to follow through
- Struggles with organization or communication
- Is not comfortable working in a fast-paced environment
