Job Purpose
The HWSETA is seeking to appoint a Provincial Administrator to provide administrative, operational and stakeholder support within the Free State Provincial Office. The successful candidate will be responsible for coordinating administrative processes, maintaining records, supporting programme implementation, assisting stakeholders, and ensuring efficient office operations in line with organisational policies and service delivery standard.
Minimum Requirements
Education
- National Diploma in Office Administration/Technology, Business Administration, Public Management or an equivalent qualification.
Experience
- 2 to 3 years' experience in Office Administration or a related field.
Key Responsibility Areas
1. Administrative Support
- Provide administrative support to the Provincial Office.
- Prepare correspondence, reports, presentations and meeting documentation.
- Maintain efficient filing and record management systems.
- Manage incoming and outgoing correspondence.
- Coordinate meetings, workshops and stakeholder engagements.
- Ensure effective office administration and document control.
2. Programme Administration
- Support the implementation of learning programmes and other HWSETA initiatives.
- Assist with the coordination of workshops, site visits and stakeholder events.
- Maintain accurate programme records and databases.
- Monitor submission and tracking of required documentation.
3. Stakeholder Support
- Respond to stakeholder enquiries and provide administrative assistance.
- Assist employers, training providers and stakeholders with administrative processes.
- Ensure excellent customer service and timely communication.
- Escalate unresolved queries where necessary.
4. Records and Information Management
- Maintain electronic and manual filing systems.
- Ensure accurate capturing and safekeeping of documents.
- Support compliance with information management and record-keeping requirements.
- Prepare reports and statistical information as required.
5. Corporate Services Support
- Implement and adhere to organisational policies and procedures.
- Assist with procurement, asset control and logistical arrangements.
- Support travel and accommodation arrangements where required.
- Assist with office planning, reporting and operational activities.
6. Marketing and Stakeholder Engagement
- Support career exhibitions, advocacy initiatives and marketing activities.
- Assist with stakeholder communication and awareness campaigns.
- Promote positive stakeholder relations and customer satisfaction.
7. Service Delivery Standards
- Ensure timely responses to telephone and email enquiries.
- Acknowledge receipt of submitted documentation within prescribed timelines.
- Maintain professional service delivery standards in all stakeholder interactions.
