Job description

PURPOSE:

What is the purpose of this job?

To support the Regulatory & Quality Manager by ensuring all finished goods received from third-party manufacturers are inspected, documented, and released in accordance with Signature Cosmetics' quality standards before distribution. The role also provides quality administration support and assists in maintaining the Quality Management System (QMS).

Job Specification…

  • Perform incoming quality inspections on finished goods received from third-party manufacturers.
  • Verify batch documentation, Certificates of Analysis (COAs), batch numbers, expiry dates, quantities, and product quality prior to release.
  • Coordinate and administer the release of finished goods into saleable stock.
  • Manage non-conforming products, quarantine stock, and maintain hold stock records.
  • Maintain quality documentation, including inspection records, release logs, supplier documentation, and quality registers.
  • Conduct routine warehouse quality inspections to ensure compliance with storage, housekeeping, and stock rotation requirements.
  • Support customer complaint investigations by retrieving retained samples and maintaining complaint records.
  • Assist with supplier quality documentation, Product Information Files (PIFs), regulatory documentation.
  • Monitor and track corrective actions (CAPAs), non-conformances (NCRs), and quality metrics.

Systems, processes, and technical competencies:

  • Quality Management Systems (QMS) administration and maintenance.
  • Document control and records management.
  • Knowledge of quality standards (e.g., ISO 9001, GMP, GDP or relevant industry standards).
  • Internal and external audit coordination.
  • Corrective and Preventive Action (CAPA) tracking and administration.
  • Root Cause Analysis (RCA) principles and documentation.
  • Non-conformance management and reporting.
  • Data collection, analysis, and quality reporting. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Business:

  • Understanding of business measures and targets directly relating to own role.
  • Ability to analyse and interpret finance and performance indicators within own role.
  • Able to scrutinize and interpret written and financial documentation, identify mistakes and problems.

OTHER JOB REQUIREMENTS

What theoretical knowledge (e.g. degree / diploma) does the job require?

  • Grade 12 or equivalent qualification required.
  • Diploma or Degree in Quality Management, Food Science, Cosmetic Science, Microbiology, Biotechnology, Chemistry, or a related field.

What experience (e.g. previous exposure) does the job require?

  • 2–4 years' experience in a quality role within FMCG, cosmetics, pharmaceutical, or manufacturing
  • FMCG, retail, or manufacturing experience preferred
  • Knowledge of ISO 9001, ISO 22716 (Cosmetic GMP), Good Documentation Practices (GDP), and quality systems.
  • Proficient in Microsoft Office.
