Job description
The main purpose of the Quality Assurance (QA) Administrator is to provide administrative support to the Compliance Manager and Quality Team. This includes administration, maintenance, documentation, investigation and verification of prerequisite programs of the Food Safety & Quality Management Systems, as well as assisting in the implementation and maintenance of an effective Food Safety & Quality culture.
Legal requirements
- Review and update food safety & quality acts, standards and regulations.
- Registrations, certification and legal compliance.
- Assisting with External Audit compliance and regulatory aspects.
Training
- Assist with compiling of training/awareness material relating.
- Assist with training and internal refresher training of food handlers.
- Assist with the verification of training effectiveness
Documentation
- Continuously updating food, safety and quality documentation as requested.
- Compiling of checklists, registers, work instructions, other documentation and/ or policies and procedures when requested.
- Filing and controlling documents.
- Ensure compiled and completed minutes from the Food Safety Meetings are communicated and follow is conducted on action plans.
- Client/Customer documentation (specifications, product information sheets, certifications, questionnaires, supplier documentation) required to be completed timeously
Internal Audits
- Assist with gathering of information
- Compiling of audit reports
- Summarizing findings
- Follow up on corrective actions
- Identify areas for improvisation that enables continuous improvement
TQM System
- System Administrator
- Managing TQM Reports and Summaries
- Uploading documents/actions and follow up on outstanding actions
- Assist with recording, updating and communication
- Effective handling of internal non-conformance process (receive, investigate, directing to relevant parties, feedback and closing off)
- Assist with implementing and verification of corrective actions
- Customer Complaints, Rejections, External and Internal Audit corrective action follow up and closure of reports
- Food Safety & Hygiene Culture
- To determine the status of the food safety culture in the company
- Ensure activities and plan according to timelines and deadlines
- Establish an effective FS Culture by fulfilling requirements
- Effectively monitor and maintain and ongoing FS Culture
Trending and Data Analysis
- Compiling of data and information for continuous improvement
- Compiling of data and trending for customer quality analysis
- Data management for internal processes and internal interested parties
Health and Safety
- Participate in safety forums and attend relevant training/programmes
- Report all safety incidents to the relevant people
- Comply with safety policies and procedures
- Always wear protective clothing (where applicable
Qualification and Experience
- Excellent command of the English Language, both written and oral
- High degree of computer literate (MS Word and Excel)
- The following would be advantageous:
- Tertiary qualifications in chemistry, quality management and/or food science area.
- Course/Certificate in Internal Auditing
- Course/Certificate in GMP & Prerequisite programs
- Course/Certificate in ISO14001:2015 Implementation
- Auditing Diploma
- 1 Years experience in the food industry or equivalent
