Job description
POSITION PURPOSE
The Quality Control Administrator provides administrative and operational support to the Quality and Food Safety department, ensuring that quality records, samples, monitoring activities and documentation are accurately completed, maintained and available.
The position supports the effective implementation of the Quality and Food Safety Management Systems by ensuring that required records are up to date, samples are correctly managed, hygiene and environmental monitoring is completed, non-conformances are followed up and Quality data is accurately captured and analysed.
KEY RESPONSIBILITIES
Quality & Food Safety Administration
- Provide general administrative support to the Quality department.
- Maintain accurate and up-to-date Quality and Food Safety records, registers, schedules and files.
- Ensure required Quality documentation is completed correctly, signed and filed.
- Check paperwork and records from all areas of the facility to ensure they are current, complete and correctly completed.
- Follow up with relevant departments on outstanding or incorrectly completed documentation.
- Assist with maintaining controlled Quality documentation.
Non-Conformance (NCR) Management
- Assist with NCR investigations by gathering relevant information, documentation, test results and supporting evidence.
- Assist relevant departments with identifying root causes and corrective actions.
- Ensure NCR corrective actions are followed up and completed within required timeframes.
- Verify that supporting evidence is available before NCRs are submitted for closure.
- Identify recurring NCRs and escalate trends to the QC/QA Manager.
Pest Control & Fumigation
- Arrange and coordinate scheduled fumigation and pest control activities.
- Liaise with pest control service providers and relevant internal departments.
- Ensure fumigation schedules, certificates, reports and supporting documentation are received and filed.
- Assist with monitoring pest activity and identifying recurring trends.
Data Capturing, Reporting & Trending
- Capture Quality, Food Safety, laboratory, hygiene, environmental monitoring, NCR and other relevant data accurately.
- Maintain electronic and/or manual Quality databases and registers.
- Compile routine Quality reports and provide information required for management reporting.
- Assist with preparation of monthly Quality and Food Safety reports.
Audit & Compliance Support
- Assist the QC/QA Manager with preparation for internal, customer, certification and regulatory audits.
- Ensure Quality records and supporting documentation are readily available for audits.
- Assist with closing audit findings by gathering evidence and maintaining corrective action records.
- Conduct routine checks to ensure required Quality and Food Safety records are being maintained.
- Assist with maintaining ongoing audit readiness.
General Quality Support
- Support the QC/QA Manager and Quality team with investigations and improvement projects.
- Assist with maintaining Quality noticeboards, registers, schedules and communication.
- Communicate outstanding Quality requirements to relevant departments.
- Maintain confidentiality and accurate handling of Quality and customer information.
- Perform general administrative duties required within the Quality department.
- Perform other reasonable Quality, Food Safety and administrative duties as required by management.
MINIMUM EDUCATION & EXPERIENCE
- Grade 12 / Matric required.
- Relevant Quality, Food Technology, Food Science, Microbiology, Administration or similar qualification advantageous.
- Previous experience in a Quality, Food Safety, or food manufacturing environment advantageous.
- Previous administrative or data capturing experience required.
- Experience with NCRs, laboratory samples, audits or Quality documentation advantageous.
- Computer literate, particularly Microsoft Excel, Word and Outlook.
- Good written and verbal communication skills.
- Strong attention to detail and accuracy.
- Good organisational and time-management skills.
- Ability to work independently and meet deadlines.
- Ability to communicate effectively with Production, Warehouse, Laboratory, Procurement and other departments.
