Job description
The Receiving Clerk is responsible for accurately receiving, inspecting and recording incoming stock to ensure inventory accuracy, quality and proper storage.
Receiving and Inspection
- Receive incoming stock and verify against delivery notes and purchase orders.
- Inspect goods for damage, shortages or discrepancies.
- Report any issues to the Inbound Controller immediately.
- Sign delivery documentation upon receipt.
Stock Control and Put-Away
- Ensure all received stock is correctly recorded in the system.
- Perform daily put-away of stock in designated locations.
- Ensure quantities received match system records and put-away documentation.
- Maintain accurate inventory records at all times.
Documentation and Administration
- Handle all documentation carefully to prevent loss or damage.
- Complete and file delivery notes, transfer orders and receiving documents daily.
- Ensure all records are accurate and up to date.
- Ensure put-away sheets are signed and properly filed.
Returns and Warranty Processing
- Process returned goods and ensure they are transferred to the Service Department.
- Complete warranty documentation for damaged, faulty or short-delivered goods.
- Record all warranty claims on the system or tracking sheet.
- Notify relevant stakeholders when replacement stock is received.
Inventory Control
- Perform daily cycle counts.
- Investigate stock variances and report findings to the Warehouse Manager.
- Assist in maintaining overall inventory accuracy.
Coordination and Communication
- Liaise with Procurement and the Inbound Team regarding expected deliveries.
- Notify relevant departments (Sales, Marketing, Finance) of received goods and returns.
- Maintain effective communication with internal teams.
Safety and Housekeeping
- Follow all OHS (Occupational Health & Safety) requirements when handling stock.
- Maintain 5S standards in the receiving area.
- Handle stock carefully to prevent damage.
Compliance and Quality
- Comply with company policies, procedures, and the Principles of Business Conduct.
- Adhere to all health, safety, environmental, and quality standards.
- Support quality management processes within the department.
Position Requirements
Education
- Matric
Related Experience:
- Minimum 2 years’ experience in a receiving or warehouse role
- Experience with ERP systems (Navision preferred)
Skills, Special Competencies, or Certifications:
- Strong attention to detail
- Good communication (Business English)
- MS Office (Intermediate)
- Inventory and data management skills
- Ability to work independently and under pressure
- Physical ability to move stock
- Strong teamwork and interpersonal skills
Licenses:
- Forklift licence
- High Reach truck licence
- Minimum 2yrs experience working with Navision, essential
