About the Role

We are looking for a professional, friendly, and highly organised Receptionist / Administrator (CRM) to join our team. This role combines front-desk reception duties with administrative support and Customer Relationship Management (CRM) administration. The successful candidate will be the first point of contact for clients while ensuring that customer information, sales records, and administrative processes are maintained accurately and efficiently.

Key ResponsibilitiesReception & Customer Service

  • Welcome and assist clients, visitors, and suppliers in a professional manner.
  • Answer and direct incoming telephone calls.
  • Respond to email and online enquiries promptly.
  • Maintain a clean, organised, and professional reception area.
  • Manage incoming and outgoing mail and courier services.

Administration

  • Provide general administrative support to management and various departments.
  • Prepare, scan, file, and maintain company documentation.
  • Schedule meetings, appointments, and maintain calendars.
  • Assist with data capturing and report preparation.
  • Order and manage office stationery and supplies.
  • Maintain accurate filing systems, both electronic and physical.

CRM Administration

  • Capture and maintain customer information within the CRM system.
  • Ensure customer records are accurate, complete, and up to date.
  • Create and manage leads, opportunities, and customer accounts.
  • Monitor follow-up activities and assign tasks where required.
  • Generate CRM reports and provide management with relevant information.
  • Assist the sales team with CRM administration and customer onboarding.
  • Ensure compliance with company processes and data quality standards.

Minimum Requirements

  • Grade 12 (Matric).
  • 2–3 years' experience in a receptionist or administrative role.
  • Proficient in Microsoft Office (Word, Excel, Outlook, and Teams).
  • Excellent verbal and written communication skills.
  • Strong organisational and time-management abilities.
  • High attention to detail and accuracy.
  • Professional appearance and telephone etiquette.
  • Ability to work independently and manage multiple tasks.

Advantageous

  • Experience supporting a sales or customer service team.
  • Experience preparing reports and analysing CRM data.
  • Knowledge of office management procedures.
