Job description
MAIN PURPOSE OF JOB:
Answer and route all telephone calls for our head office, factory as well as the flavour house off site.
- Manage the reception area, meet and greet visitors in a professional and courteous manner, manage the meeting rooms, arrange and distribute couriers and mail, order and maintain stationery, and provide administrative support as required.
- Work with the front-of-house service team, providing a first-class reception, hospitality and administrative support service, ensuring exceptional customer care to all clients/visitors and staff.

- Warmly welcoming clients/visitors to ensure a positive first impression of our company
- Provide professional and efficient service to clients/visitors and staff
- Provide information to assist clients/visitors or refer them to appropriate contacts
- Answer the phone in a polite manner
- Offer tea and coffee (if extended waiting period)

Process
- Answer and route all telephone calls in a professional and courteous manner
- Taking accurate and detailed messages
- Maintain high standards of communication to ensure that communication flows effectively and in a timely manner
- Provide information to assist clients or refer them to appropriate contacts, either in the organisation or elsewhere
- Maintain a professional presentation of the reception area
- Manage meeting room bookings
- Always ensure that meeting rooms are maintained in a clean and hygienic manner
- Receiving and sorting daily mail and prompt distribution
- Arrange and distribute courier services
- Driver’s schedule of deliveries/collections
- Reconciling stationery accounts
- Reconciling internal sales
- Ordering of stock
- Updating telephone list monthly - check with HR and all branches regarding changes before distributing
Corporate social responsibility
- Adhere to the Code of Ethics and drive ethical business practices across the group including the management of anti-competitive behaviour.
- Participate in Group wellness and CSR activity and utilize group resources in this regard.
- Drive awareness of group energy consumption initiatives.
- Support the SHEQ and OHS landscape across the group.
FOOD SAFETY & HEALTH AND SAFETY MANAGEMENT SYSTEMS:
In this capacity you have the following responsibilities in relation to the listed management systems below:
- ISO 14001
- Occupational Health & Safety Act 85 of 1993 and it’s regulations
- ISO 45001
- FSSC 22000
- GMP
- HACCP
This includes, but need not be limited to, our products, processes, equipment, and hazards within the scope of the respective management system listed above.
Your responsibilities include, but are not limited to:
- Adhere to processes needed for the respective management systems listed above.
- Report on the performance, effectiveness, and suitability of the respective systems & need for improvement in your respective department.
- Assist in putting action plans in place to achieve focused training, education & awareness for the food safety and environmental, health & safety management systems.
- Be actively involved in promoting and improving of the food safety and environmental, health & safety culture at Deli Spices.
- Execute duties as per any legal, regulatory and or statutory appointment.
- Reporting of any problems or issues with regards to the food safety and environmental, health & safety management systems to an identified person eg, Team leader, Supervisor etc.
These roles and responsibilities will be valid from the day of acceptance until termination in writing or until it is superseded by a new appointment.

QUALIFICATIONS & SKILLS LEVEL:
- Highly presentable to customers and professional
- Matric
- SYSPRO experience
- Bilingual - English and Afrikaans fluently
- Computer literacy
- 2-5 years’ relevant experience
- Excellent communication skills
