Tsebo Facilities Solutions is looking for a Receptionist to provide a professional front-of-house service that creates a positive workplace experience for clients, visitors, and stakeholders. The Receptionist is responsible for delivering exceptional customer service, maintaining workplace standards, coordinating facility-related support services, managing meeting spaces and consumables, and ensuring operational requirements are effectively met in alignment with Tsebo and client expectations.

Duties & Responsibilities
Customer Service & Client Experience
- Deliver a professional and welcoming reception service to all visitors, guests, contractors, and client employees.
- Ensure high standards of customer service are consistently maintained.
- Investigate and resolve client or visitor concerns promptly and professionally.
- Identify opportunities to enhance workplace experience and customer service delivery.
- Maintain positive relationships with all stakeholders and service providers.
Reception & Front-of-House Operations
- Manage reception and switchboard functions during operational hours.
- Coordinate meeting rooms, demo rooms, and visitor arrangements.
- Ensure reception areas remain presentable, clean, and fully operational.
- Monitor visitor access and adhere to client procedures.
Workplace & Facilities Coordination
- Support workplace operations by coordinating:
- Cleaning services
- Hygiene services
- Indoor plant services
- Consumable stock management
- Stationery supplies
- Beverage services
- Monitor the condition and availability of workplace facilities.
- Escalate maintenance and workplace issues through the appropriate channels.
Operational Support
- Assist in planning and coordinating workplace events and client activities.
- Maintain effective communication with relevant departments regarding operational requirements.
- Ensure effective handovers between colleagues where applicable.
- Monitor and follow up on outstanding client service requests.
Quality Assurance
- Conduct daily workplace inspections against agreed quality standards.
- Perform random quality checks on contracted service providers.
- Ensure all issues relating to health, safety, cleanliness, and visual standards are escalated appropriately.
- Track and follow up on corrective actions.
Reporting & Administration
- Provide daily, weekly, monthly, and ad-hoc operational reports.
- Record complaints, compliments, recommendations, and workplace statistics.
- Monitor and report on:
- Switchboard and telecommunications activity
- Consumable usage and trends
- Visitor-related incidents
- Operational performance metrics
- Maintain accurate records and documentation.
Learning & Development
- Demonstrate Tsebo values and professional standards at all times.
- Participate in continuous learning and development opportunities.
- Identify personal training needs to improve performance.
- Share knowledge and assist in training colleagues where required.
Skills and Competencies
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite.
- Customer service and stakeholder management.
- Reception and switchboard management.
- Facilities and workplace services coordination.
- Report writing and record keeping.
- Stock control and consumables management.
- Problem-solving and issue resolution.
- Basic supervisory and coordination skills.
- Ability to learn new systems and technologies.
Qualifications
Qualifications
- Grade 12 (Matric)
- A tertiary qualification in Hospitality Management or a related field will be advantageous.
Experience
- Required 4 to 5 years' experience in a Receptionist, Concierge, Front-of-House, Customer Service, or similar role.
- Experience within hospitality, facilities management, corporate reception, or workplace services.
- Experience overseeing soft services operations such as cleaning, hygiene, and workplace support services.
