Job description
Core Responsibilities
Greeting Visitors
- Welcome guests, clients, and customers warmly and professionally.
- Offer assistance, refreshments, or directions as needed.
Answering Calls
- Handle incoming calls promptly and courteously.
- Direct calls to the appropriate departments or take messages.
Managing Appointments
- Giving Guest Access that has sales appointments
Visitor Management
- Register guests and issue visitor passes.
- Inform staff of arrivals and ensure compliance with sign-in/out procedures.
Handling Mail and Deliveries
- Receive, sort, and distribute incoming mail.
- Manage courier services and outgoing post.
Administrative Support
- Maintain reception area cleanliness and order.
Customer Service
- Deal with queries, complaints, or concerns professionally.
- Provide information about the company, services, or premises.
- Ensure a positive customer experience at all times.
Technical/Software Use
- Use switchboard, phone systems, and voicemail.
- Use email and internal messaging systems for communication.
Health & Safety / Security
- Enforce building entry protocols.
- Monitor visitor access and maintain confidentiality.
- Follow emergency procedures when needed (e.g., fire evacuations).
Key Skills Required
- Excellent communication and interpersonal skills.
- Professional appearance and demeanour.
- Strong organizational and multitasking abilities.
- Basic IT literacy (Microsoft Office, booking systems, etc.).
- Ability to stay calm under pressure.
- Prepare and manage basic documents or forms.
- Monitor office supplies and request replacements when needed.
- Support other departments with ad hoc admin tasks (e.g. data entry, photocopying).
Staff are required to work shifts. These shifts are rotated between two other staff members but will be explained more in detail in interview
AM 04:30 - 12:30
PM 12:00 - 21:00
Mid 10:00 - 19:00
Also required to work on out of every 3 weekends and one out of every 3rd Public Holiday.
