Job description
Phetogo Consulting Group is a leading medicolegal consultancy. We bridge the gap between medicine and law, providing expert medical assessments and comprehensive reports for complex legal claims. We pride ourselves on a high-standard, meticulous environment, and we are looking for a sharp, organized individual to join our front-line team.
The Role
We are seeking a detail-oriented Receptionist / Administrative Assistant to manage our front desk and support our daily administrative operations. This isn't just a standard greeting role—you will be handling highly sensitive medical and legal documentation, coordinating with expert medical witnesses, and interacting with clients who may be navigating difficult physical circumstances.
We are specifically looking for candidates from one of two backgrounds:
- Health Sciences/Medical Graduates: Broadly trained individuals (e.g., BSc in Medical/Health Sciences, Nursing, Biokinetics, etc.) looking to pivot their medical knowledge into a corporate, legal environment.
- Legal Assistants/Administrators: Candidates with experience working in a law firm, specifically handling Road Accident Fund (RAF) or medical negligence claims.
Key Responsibilities
- Front-of-House: Greet clients, claimants, and medical experts warmly and professionally.
- Diary & Appointment Management: Coordinate complex scheduling for medical assessments between claimants, attorneys, and medical specialists.
- Document Control: Prepare, organize, and securely file sensitive medical records, legal briefs, and expert reports.
- Communication Hub: Answer incoming calls, manage email correspondence, and act as a reliable liaison between legal teams and medical experts.
- Data Capture: Accurately update and maintain our internal case management system.
- General Admin: Handle billing, invoicing, office supplies, and courier coordination for physical files.
Requirements & Qualifications
- Educational Background: A degree or diploma in Medical/Health Sciences OR a recognized legal qualification/certification.
- Experience: Experience within a law firm working directly on RAF or medical negligence files is highly advantageous. (We welcome applications from recent health sciences graduates with no prior corporate experience).
- Skills:
- Exceptional verbal and written communication skills.
- Absolute discretion and understanding of patient confidentiality (POPIA/HPCSA guidelines).
- Strong command of Microsoft Office (Word, Excel, Outlook).
- High emotional intelligence and patience when dealing with injured or distressed claimants.
- Meticulous attention to detail (spotting errors in medical numbers or case names is crucial).
