About the Role
Are you an assertive, goal-driven professional with a background in healthcare administration? We are looking for a highly organized Referrals Coordinator to serve as the vital first point of contact for our patients.
In this role, you will bridge the gap between patient care and practice efficiency. You will handle both inbound and outbound patient engagement, educate patients on our services, and work closely with our clinic teams to optimize bookings, maintain high treatment completion rates, and drive practice profitability.
Key Responsibilities
- Patient Enrollment & Booking Targets: Drive and maintain patient booking targets (e.g., maintaining a steady load of ~7 to 15 new patients per doctor day depending on clinician capacity).
- Treatment Retention: Monitor patient load reports and collaborate with Practice Administrators to ensure a 90% treatment completion rate and keep patient drop-off below 5%.
- Customer Service Excellence: Respond to patient queries and complaints within 24 hours, ensuring high satisfaction scores.
- Smart Scheduling (Profitability): Optimize practitioner schedules to reduce waste, ensuring initial assessments, cash patients, and doctor-day slots are perfectly booked without double-bookings or unnecessary gaps.
- Data & Reporting: Update practice data reports weekly, prepare weekly/monthly/annual medical aid reports, and strictly maintain compliant database storage.
Position Requirements (Strictly Non-Negotiable)
To be considered for this role, you must possess the following specific technical skills and knowledge:
- Healthcare Industry Knowledge: Strong understanding of medical billing, healthcare ethics, and business practices within a medical environment.
- Technical Systems Proficiency: Hands-on experience using MedEdi and TBC Booking System (or equivalent medical scheduling software).
- Digital Literacy: Proficiency in Microsoft Office (specifically Word and intermediate/advanced Excel) and Google Cloud.
- Protocol Knowledge: In-depth knowledge of, or the immediate ability to master, the DBC Protocol.
- Data Competency: Ability to read, understand, and accurately report basic clinical data and patient load metrics.
