Work Hours: Strict alignment with UK business hours (GMT) - Shift hours - MUST BE ABLE TO WORK EVENINGS AND WEEKENDS.

Clinic Assist specialises in providing dedicated Virtual Assistants to leading chiropractic and healthcare businesses. We are expanding our remote outbound team. This role is critical for patient outreach, lead conversion, and appointment scheduling across multiple UK clinics.Mandatory Application Requirements (Applications will be rejected if these are not met)
- Geographic Location: Must be a permanent resident of South Africa.
- Remote Work Experience: A minimum of 2 years of verifiable experience in a remote work environment, specifically in outbound calling, customer service, or sales roles.
- Outbound Sales/Follow-up Experience: Demonstrated experience in outbound lead follow-up, telesales, or healthcare administration.
- Language Proficiency: Fluent in spoken and written English, with a clear, professional telephone manner.
- Work Ethic: Proven ability to work independently, meet stringent targets, and efficiently manage multiple lead sheets simultaneously.
- Time Zone Alignment: Absolute commitment to working UK business hours (GMT/BST) without any scheduling conflicts.
- Technical Setup: Computer Specifications: Reliable computer/laptop with 16GB RAM or more.
- Internet Connection: Extremely fast and stable internet connection (minimum 50 Mbps download, 20 Mbps upload).
- Backup Power: Proven backup power solution (e.g., UPS, inverter, generator) to ensure uninterrupted work during power outages.
- Work Environment: Dedicated, quiet, and professional home office environment free from background noise and distractions.

Key Responsibilities
- Lead Management and Conversion: Proactively manage and maintain comprehensive lead sheets for multiple UK clinics.
- Initiate contact with new leads within 5-10 minutes of receipt.
- Execute consistent follow-up calls for all leads within a 14-day timeframe, prioritising urgency and scheduled callbacks.
- Nurture prospective patients and convert inquiries into scheduled appointments.
- Appointment Scheduling: Coordinate and confirm patient appointments efficiently, ensuring accurate recording in clinic systems.
- Manage appointment logistics and send confirmations as required.
- Data Management and Reporting: Accurately input lead information, communication outcomes, and patient details into lead sheets.
- Generate regular reports on lead conversion rates, follow-up efficacy, and any encountered challenges for management review.
- Patient Re-engagement and Recalls: Contact patients who have discontinued care to understand their concerns and offer solutions.
- Encourage re-scheduling of appointments, highlighting the benefits of continued chiropractic care.
- Diligently document all recall interactions and outcomes in the designated tracker or clinic system.
- Customer Service and Promotion: Address patient inquiries professionally and empathetically during lead calls.
- Effectively promote clinic services and promotional offers to prospective and returning patients.
