Job Title: Retail Sales Administrator
Location: 2 Lascelles Road, Meadowbrook, Edenvale
Hours: 08:00 - 17:00 weekdays
Reporting to: Retail Sales Manager

Job Overview
The Retail Sales Administrator is responsible for providing administrative support to the retail sales function, ensuring the efficient management of independent client accounts and day-to-day administrative processes. The successful candidate will work closely with the sales team and clients to ensure orders are processed accurately, customer requirements are met, and excellent service is consistently delivered.
Key Responsibilities
Client Account Administration
- Provide administrative support for independent retail client accounts.
- Resolve client issues and complaints in a professional and timely manner.
- Evaluate client requirements and ensure customer needs are met effectively.
- Maintain strong relationships with clients through consistent communication and support.
Sales & Order Administration
- Collaborate closely with the sales team to support account management activities.
- Capture and process customer orders accurately from receipt through to delivery.
- Follow up on orders and client requirements to ensure timely completion.
- Provide regular feedback to clients and internal stakeholders regarding order status and account activity.
Data Management & Reporting
- Ensure accurate data capture and record maintenance.
- Analyse account and sales-related information as required.
- Maintain accurate and up-to-date filing systems and documentation.
- Prepare information and reports required by management and the sales team.
Meeting & Communication Support
- Assist in preparing documentation and information for client meetings.
- Coordinate and send reminders regarding upcoming appointments and meetings.
- Answer telephone calls professionally and direct enquiries appropriately.
- Take accurate messages and ensure prompt follow-up where required.
Process Improvement & Compliance
- Identify opportunities to improve administrative processes and workflow efficiencies.
- Adhere to company procedures, policies, and deadlines.
- Maintain a high level of accuracy and attention to detail in all administrative tasks.
Requirements
- Strong administrative and organisational skills.
- Excellent verbal and written communication skills.
- Strong customer service and relationship management abilities.
- Ability to multitask, prioritise workload, and manage time effectively.
- Intermediate to advanced Microsoft Office skills, including Outlook, Word, and Excel.
- Strong problem-solving and analytical skills.
- Ability to work independently and as part of a team.
Education and Experience
- 1–3 years' experience in a sales administration or related administrative role.
- Strong Matric qualification required.
- Relevant NQF Level 7 qualification or Bachelor's Degree is advantageous.
- Knowledge of accounting software such as Pastel or SAP is advantageous.
- Additional Requirements
- Valid South African driver's licence.
- Own reliable vehicle.
