Job description

As the Revenue Coordinator, you are the "Commercial Pulse" and the "Brand Ambassador" on the ground for

HBD. While the Revenue Lead architects the strategy, you are responsible for the daily execution of our income-generating activities across residential, commercial, and experiential sectors. You ensure that every lead is captured, every event is flawlessly executed, and the HBD brand is tangibly felt at every touchpoint.

You serve as a Biodiversity Guardian, recognising that the excellence of our property portfolio is the engine that funds the preservation of all our conservation work, such as the critically endangered Renosterveld and the Fynbos. Your operational precision in securing and managing revenue streams directly fuels our conservation legacy. By monetising HBD assets with world-class hospitality and sales intuition, you provide the sustainable financial foundation required to protect our ecosystem for the future.

Key Technical Focus Areas

1. Lead Management & Digital Presence

You are the primary handler of the "Digital Shop Front" and the first point of contact for potential revenue.

  • Inquiry Management: You own the daily monitoring of all marketing channels (Social Media, Web, Property Portals). You ensure that every inquiry is logged on monday.com and responded to within the HBD gold-standard timeframe.
  • Content Execution: You assist the Lead in keeping our digital presence "Photography Grade," ensuring that listings and social posts reflect the world-class standard required to justify our premium pricing.

2. Experiential Revenue & Physical Event Ownership

Unlike traditional office roles, you are the face of HBD during our high-value garden events and tours.

  • Event Hosting & Execution: You are present and on-site for garden events, plant sales, and photo shoots.
  • Physical Setup Ownership: You own the physical setup and breakdown of events independently. You are responsible for ensuring furniture, staging, and branding are positioned to the HBD standard.
  • Site Preparation: You ensure the "Managed Gardens" and event spaces are pristine and ready before guests or partners arrive, acting as the direct bridge between the Gardeners and the Client.
  • Flexible Schedule: This role requires a flexible schedule, including weekends and after-hours, to ensure HBD assets are monetised whenever the opportunity arises.

3. Commercial & Residential Support

You provide the administrative and "boots on the ground" support needed to close deals.

  • Viewings & Vetting: You conduct site viewings for prospective residential and commercial tenants.
  • Verification & Compliance: You perform thorough verifications of potential tenants, including collecting and validating IDs and work permits.
  • Lease Preparation: You organise and prepare all tenant information for the Compliance Lead to ensure they have everything required to draft the formal lease.
  • The "Green Light" Logistics: Once the Finance Lead confirms deposit clearance, you coordinate the final file handover to the Property Coordinator for move-in.
  • New Property Onboarding: You assist in the integration of newly purchased properties into the HBD portfolio, ensuring they are revenue-ready and aligned with brand and compliance standards from day one.

4. Revenue Targets & Market Intelligence

  • Targets: You work to hit specific targets set by the Revenue Lead, treating every vacant hour in the garden or co-working desk as a missed opportunity.
  • Sales Pipeline: You maintain the "Leads & Renewals" board on monday.com, providing real-time data on potential vacancies.
  • Market Intelligence: You assist with comparative market analysis by gathering data on Durbanville rental rates and competitor event pricing to ensure HBD remains competitively premium.

5: Financial Administration & Revenue ProtectionYou are responsible for the administrative lifecycle of a deal, ensuring that a "Lead" successfully transitions into

"Realised Revenue."

  • Quote & Proposal Generation: You are responsible for the prompt generation of formal quotes for events, short-stays, and plant sales. You ensure that all quotes are professional, accurate, and aligned with the pricing strategies set by the Revenue Lead.
  • Invoicing & Billing Coordination: Once a quote is accepted, you compile the necessary billing data and coordinate with the Finance Administrator to ensure invoices are issued immediately. You take ownership of the accuracy of the billing details to prevent payment delays.
  • Payment Tracking & Follow-ups: You monitor the "Accounts Receivable" for your specific revenue streams. You are responsible for following up with clients regarding outstanding deposits or final payments, ensuring that no event takes place and no lease is signed until the "Financial Green Light" is confirmed.
  • Revenue Documentation: You maintain the "Source of Truth" on monday.com for all commercial transactions, ensuring that proof of payment and signed contracts are digitally filed and accessible for audit purposes.

6. Short-Term Rental Management

You take full ownership of the short-term rental pipeline to maximise asset yield.

  • Booking Execution: You are responsible for securing and managing short-term rentals.
  • Guest Readiness: You ensure the property is "Photography Grade" and fully prepared for guest arrival, attending to any specific needs or requests to maintain HBD’s premium reputation.

The Escalation Chain: Operational Commercial Risk

  • Level 1 (The Inquiry): You resolve standard pricing queries and booking requests independently.
  • Level 2 (The Negotiation): You escalate to the Revenue Lead the moment a prospect requests a deviation from standard rates or terms.
  • Level 3 (Brand Risk): You escalate immediately if an event or tenant prospect does not align with the HBD aesthetic or values.

Strategic Collaboration

  • Revenue Lead: Your direct supervisor. You provide the "On-the-Ground" execution; they provide the commercial strategy and final sign-off on deals.
  • Property Coordinator: You work in lockstep for handovers. You secure the tenant; they manage the lived experience.
  • Finance Administrator: You provide them with the details for new invoices (events, plant sales, leases) to ensure billing is immediate and accurate.
  • Head of Conservation: You coordinate with them to ensure the garden is "Photography Grade" and that irrigation is paused 48 hours before an event.
  • Compliance Lead: You work in close coordination to provide vetted tenant information, including IDs, work permits, and FICA documentation, so they can accurately draft formal leases.
  • Head of Operations: You align on the "Commercial Pulse" of the ground-level activities, ensuring that operational resources are available to support events, short-term rentals, and new property onboarding.
  • Property Lead: You collaborate on the overall health and "Photography Grade" status of the portfolio, ensuring that property standards meet the premium requirements needed to secure high-value revenue.
