Safety, Health and Environment Specialist

PURPOSE As a SHE (Safety, Health and Environment) Specialist, you are responsible for implementing, monitoring and maintaining PayInc’s Safety, Health and Environmental management systems to support a safe and compliant working environment for employees, contractors and visitors. The role includes regulatory compliance, risk management, incident management, emergency preparedness, contractor SHE compliance, training, inspections, environmental initiatives and SHE performance reporting. The Specialist supports the development and implementation of SHE policies, procedures, frameworks and continuous improvement initiatives and promotes a proactive safety culture aligned with PayInc’s zero-harm objectives.

You will engage with the following stakeholders: The SHE (Safety, Health and Environment) Specialist at PayInc will engage with a diverse set of stakeholders within and outside the organization. The key stakeholders include:

Internal Stakeholders:

• Facility Management Team: Collaborate with facility managers to ensure the proper functioning of safety, health and environment services in the organization's facilities.
• Operations Team: Work closely with operations teams to understand Safety, Health and Environment services requirements for day-to-day activities and coordinate activities for compliance.
• IT Department: Engage with the IT department to align SHE services with technological requirements and ensure seamless integration.
• Project Management Teams: Collaborate with project managers, architects, engineers and professionals to integrate SHE services into new construction, renovation or any project.
• Finance and Procurement Teams: Work with finance and procurement teams to manage budgets for SHE services.

External Stakeholders:

• External Contractors and Vendors: Collaborate with external contractors and vendors for specialized SHE services, equipment procurement, and project execution.
• Landlords and Real Estate Owners: Collaborate with landlords and real estate owners to develop and manage Service Level Agreements (SLAs).
• Regulatory Authorities: Engage with regulatory bodies and comply with SHE services, codes, standards, frameworks, policies and safety regulations. Communicate regularly with external auditors to ensure regulatory compliance.
• Community and Environmental Groups: Depending on the nature of the organization and its projects, there might be a need to engage with local communities and environmental groups to address concerns related to SHE services and projects.
• Government Agencies: Work with relevant government agencies to obtain permits, approvals, and ensure adherence to local regulations.

Management Leadership:

• Provide regular updates to management leadership on the status of SHE services, projects, compliance, and any critical issues. Present financial projections and justifications for SHE services initiatives.

Safety and Compliance Teams:

• Health and Safety Teams: Collaborate with health and safety teams to establish and enforce safety protocols related to SHE services systems.
• Compliance and Risk Teams: Work closely with compliance and risk teams to ensure adherence to industry regulations, codes, standards, frameworks and policies.

Your key responsibilities include:

• Health and Safety Compliance: Ensure compliance with applicable health and safety regulations, regulations, standards, and organizational requirements. Conduct monthly inspections and periodic audits of all real estate to identify risks and ensure adherence to SHE policies.
• SHE Compliance – Real Estate: Monitor SHE compliance across the PayInc Head Office and other PayInc premises, including conducting inspections, identifying SHE risks and monitoring corrective actions to verified completion.
• Service Level Agreements (SLAs): Monitor SHE requirements applicable to landlords, third parties and Facilities Management partners and escalate identified SHE non-compliance to the responsible business owner.
• Policy Development and Implementation: Develop, review and maintain SHE policies, procedures, guidelines and frameworks and support their effective implementation across the organisation. Support the implementation of PayInc’s zero-harm objectives and communicate SHE requirements effectively to relevant stakeholders.
• Risk Management: Identify hazards, conduct and facilitate SHE risk assessments, recommend appropriate controls and monitor implementation of agreed corrective and preventative actions. Maintain relevant SHE risk and corrective action registers and escalate overdue or significant risks. Serve as the Risk Management Champion within the Facilities Management department.
• Training and Awareness: Develop and deliver OHS training programs for employees and contractors. Promote awareness campaigns to foster a culture of SHE and drive employee participation and feedback on training programs.
• Emergency Preparedness: Develop, maintain and test emergency preparedness and response plans for relevant emergency scenarios. Coordinate emergency preparedness activities, evacuation drills and the readiness of designated emergency teams, systems and resources. Participate in the organisation’s emergency response arrangements, including evacuation coordination where required. Monitor drill outcomes, identify areas for improvement and track resulting corrective actions to closure.
• Stakeholder Collaboration: Liaise with regulators, auditors, and external bodies to ensure compliance and continuous improvement. Collaborate with internal departments to integrate SHE considerations into business operations.
• Reporting and Documentation: Maintain accurate records of safety audits, incident reports, training sessions, and certifications. Prepare regular reports on OHS performance with a full SHE view and present to Management.
• Technology: Implement SHE technology to drive innovation for a high performing safety culture. Implement technology to produce monitoring and measurement of SHE performance indicators.
• Environmental and ESG Support: Support environmental and ESG objectives relevant to SHE, including waste management, recycling, environmental risk identification, environmental performance monitoring and initiatives aimed at reducing the organisation’s environmental footprint.
• Contractor SHE Compliance: Maintain and monitor contractor SHE vetting and compliance requirements. Review and verify contractor SHE documentation against applicable legislative and organisational requirements, coordinate SHE inductions, conduct compliance spot checks and escalate non-compliance to the responsible contractor or business manager. Maintain accurate contractor compliance records and monitor corrective actions to verified completion.
• Permit-to-Work Compliance: Support the Permit-to-Work governance process by verifying contractor SHE compliance and induction requirements, conducting compliance spot checks and monitoring adherence to applicable SHE requirements. Maintain relevant compliance records and escalate identified non-compliance to the responsible Facilities or contractor manager.
