Why do we need you?
We are seeking a highly organized and detail-oriented Sales Administration Controller to support and optimize our sales operations. This role is responsible for managing the administrative processes that underpin the sales function, ensuring a seamless order-to-delivery cycle and exceptional customer service. The successful candidate will play a key coordination role between the Sales, Distribution, and Finance teams, ensuring operational efficiency, accurate processing, and effective communication across the business.
Key responsibilities:
Sales Administration and Order Management
- Process and capture sales orders accurately with high attention to detail
- Respond to quote and order requests within 24 hours
- Maintain and update daily order tracking systems
- Monitor order progress and ensure timely delivery
Customer Service and Communication
- Provide professional and timely communication to customers
- Deliver high-quality customer service across all interactions
- Handle queries and escalate issues where necessary
Coordination and Stakeholder Engagement
- Liaise with distribution regarding product availability and delivery schedules
- Work closely with the accounts team on: COD payments, Customer account status and Credit limits
- Support the Credit Manager in resolving discrepancies
Operational Support
- Track daily vehicle movements and delivery activities
- Assist with consignment account management
- Submit invoices through COUPA and ISG portals accurately and on time
- Maintain proper filing systems (digital and physical)
Continuous Improvement and Compliance
- Identify operational challenges and implement solutions
- Support the sales team through ongoing communication and problem-solving
- Ensure adherence to health and safety regulations
- Maintain compliance with internal processes and controls
Is this job for you? Minimum requirements:
- Grade 12 Matric
- Diploma or Certificate in sales administration or similar would be advantageous
- 2-3 years' experience in a sales administration role or similar
- Experience within Manufacturing, FMCG, Chemical, Industrial, or Retail environments
- Experience working with order management systems and invoicing platforms (AccPac, SAP) and Microsoft Office applications
- Excellent verbal and written communication skills
- Fluency in English, Afrikaans will be advantageous
- Ability to manage multiple tasks, timelines, and stakeholder requirements
- Ability to work effectively in cross-functional teams
- Highly organized with excellent attention to detail
- Strong problem-solving ability
- Customer centric and stakeholder-focused approach
- Resilient and able to perform effectively in a fast-paced environment
