Job Title: Administrative & Accounts Assistant
Location: Springfield, Durban

Reports To: Admin Manager /Director
Job Overview
We are a leading tyre fitment and automotive service centre. We are looking for a detailed-oriented Administrative & Accounts Assistant to manage our back office, handling essential bookkeeping and customer relations. You will be assisting in the full billing cycle, supplier payments, and staff payroll support.
Detailed Key Responsibilities:
Invoicing & Statements
* Generate accurate customer tax invoices immediately upon completion of tyre fitment or wheel alignment services.
* Compile and send monthly statements to corporate fleet accounts and cash-loyal customers by the 25th of every month.
* Reconcile daily credit card speedpoint slips and cash drawers against POS system sales reports.
Debtors & Payment Follow-ups
* Monitor accounts receivable age analysis reports weekly to identify overdue balances.
* Make outbound calls and send formal reminder emails to collect outstanding payments from credit clients.
* Resolve billing disputes by providing copy invoices, proof of delivery, or tyre serial numbers when requested.
* Review customer credit limits and flag accounts for suspension if payment terms are breached.
Call Handling & Customer Reception
* Routing calls efficiently to the workshop manager or service technicians.
* Log accurate telephone bookings into the workshop diary to maintain an optimal daily workflow.
Salary & Payroll Calculations
* Calculate basic hours, overtime, weekend hours, and public holiday pay in compliance with industry bargaining council standards.
* Prepare the monthly payroll spreadsheet with accurate UIF, PAYE, and staff loan deductions for final management approval.
Qualifications and Experience
* Matric certificate with a strong mark in Accountancy or Mathematics.
* Minimum 2–3 years of experience in a dual Admin/Bookkeeping role, ideally within the automotive or retail tyre sector.
* Proven experience tracking debtors and managing payroll calculations.
* High proficiency in accounting software (e.g. IQ Retail, Spiral Elite) and MS Excel.
