Job description

The Cape Town International Convention Centre Company (RF) SOC Limited is so much more than just another convention centre. The main purpose: To contribute to the achievement of sales targets by supporting Sales Executives with administrative requirements, responding to enquiries from the market, coordinating sales activities and maintaining good customer relationships to maximise revenue through increased bookings across the sales office.

Reporting to the: Manager: National Sales

Key responsibilities will include but are not limited to:

1. Coordinate exhibitions

  • Provide coordination and administrative support to all Sales Executives.
  • Monitor and manage the sales inbox.
  • Handling urgent calls, emails, and messages when Sales Executives are unavailable.
  • Respond to sales enquiries within 24 hours from new and existing client enquiries on behalf of Sales Executives.
  • Research and lead generation for sales.
  • Assists in all day-to-day activities related to reactive sales with a focus on providing accurate and thorough quotations in a timely manner in line with CTICC standards and follow ups that enable achievement of revenue objectives.
  • Determine the exact needs of the client to advise on best suited venues and products and services.
  • Provide feedback from clients to enhance the CTICC product functioning and service delivery.
  • Negotiate rates within the authority framework and yielding policy.
  • Coordinate and conduct site inspections for potential and existing clients.
  • Carry out relevant reporting/administrative requirements of the job regularly.
  • Communicates booking information to all relevant departments.
  • Work closely with the team to help achieve Department objectives.
  • Any other assistance over and above the duties in this job description as required by CTICC on an ad hoc basis.
  • Upsell all services e.g., Food and Beverage, Audio Visual (AV), digital offerings, safety and security, medics etc.
  • Leads research for new events.
  • Assisting the Sales executives in setting up sales calls.

2. Financial

  • Meet and exceed annual revenue and event number targets for the market segments.
  • Negotiate rates with clients and offer variety of options to ensure that the client budget is met; however, that CTICC yields maximum revenue.
  • Upsell CTICC additional services i.e., catering, audio-visual, décor etc.

3. Client and stakeholder management

  • Ensuring proper interdepartmental communication.
  • Represent the CTICC at relevant trade shows, workshops and industry functions if required.
  • Manage and maintain meaningful relationships with industry stakeholders and partners by conducting site inspections and attending or hosting CRM Events.
  • Update the CRM system with new client and stakeholder details.
  • Involve the relevant departments at client meetings to ensure that proper communication and event handovers are maintained.
  • Ensure client service delivery is according to expectations and achieve 80% in Customer Survey Reports.

4. Reporting and database management

  • Completing sales reports required for analysis.
  • Weekly lost opportunities report.
  • Weekly quotes pending report.
  • Maintain the CTICC contact database on EBMS.
  • Maintain the EBMS Opportunity database with intellectual property on each event, including correct segmentation and contact details.
  • Monthly report on key performance indicators as set by the Manager: National Sales.
  • Ad-hoc reports as may be requested from time to time.

Minimum qualifications and experience:

  • Certificate in Event Management, Tourism or Hospitality (NQF level 5).
  • Minimum three (3) years’ experience in a similar position.

Skills and attributes:

  • Excellent understanding of key computer programmes (Excel. Word, etc.)
  • A well-disciplined individual with a customer orientated "can do" personality.
  • High level of professionalism and confidence.
  • Able to work independently and within a team.
  • The ability to multitask, work in a fast-paced environment, and meet deadlines.
  • Excellent communication sales, and customer service skills.
  • Good administrative, organizational, and problem-solving skills.
  • Ability to work unusual hours during busy periods.
  • Attention to detail.
  • Determined individual with an understanding and flair for the hospitality and events industry.
  • Must be able to continually assess customer needs and requirements, while providing input into the forecasting cycle.
  • Exposure to an event management software programme, is advantageous.
