Job description
Purpose of the Job
The Sales Coordinator is responsible for coordinating accurate compilation, verification, and distribution of quotes across various business functions, ensuring strict adherence to company Standard Operating Procedures. It includes maintaining comprehensive documentation, supporting operational activities, and upholding professional standards in conduct, safety, and workplace organization.
Key Responsibilities:
Quote Coordination and Compliance
- Compile quotes for tenders, all services, fuel adjustments, labour increases, annual increases, and urgent one-page quotes according to company SOPs.
- Revise quotes based on instructions.
- Update fuel quotes monthly.
- Quotes include the following services, Truck Rental, Linehaul, Film fleet, Dedicated Distribution, Logistics, Warehousing, Express and Chemical Logistics
- Receive and process quote requests and electronic tasks accurately.
- Allocate reference numbers and close off quotes on the quote register
- Ensure all quotes use the correct templates and are submitted for verification.
- Distribute verified quotes promptly to the appropriate parties.
- Calculate one-page quotes using the customer’s current rates schedule.
Documentation and Record Keeping
- Maintain accurate electronic filing of all quotes and related supporting documentation for future reference.
- Ensure all documentation is organized and easily accessible within relevant files on the server.
Operational Support and Conduct
- Assist in relevant operational functions as required to support team and departmental goals.
- Maintain professional conduct in all interactions and duties.
- Follow the company dress code and uphold housekeeping standards daily.
- Ensure consistent adherence to Health and Safety policies and procedures.
Skills Required:
- Strong attention to detail
- Time management
- Excellent verbal and written communication
- Organisational skills
- Proficiency in Microsoft suite
- Teamwork and support
Minimum Requirements:
- Grade 12
- Tertiary qualification in Business Administration would be advantageous
- 2+ years’ experience within a sales administration, pricing or quoting environment, preferably within the logistics industry.
- Intermediate proficiency in Microsoft office suite and well as ERP and filing systems.
