Purpose
Own the bookings and sales pipeline, manage key client and artist relationships, and drive revenue growth for our premium event and performer booking services.
Position Overview
We are seeking a driven and detail-oriented Entertainment Sales Executive with a minimum of five years’ proven experience in sales within the event, entertainment and hospitality industry. This is an exciting opportunity to own our bookings pipeline, manage key client relationships, and drive revenue growth for our premium event and performer booking services.
The successful candidate should have experience with a CRM management platform — particularly Zoho CRM — and be proficient with the full Microsoft Office Suite. They will bring strong administrative discipline, a genuine understanding of the entertainment product, and the client-service instincts to match.

About the Role
As Entertainment & Event Services Sales Executive, you will own our office-based bookings and sales pipeline, manage a portfolio of high-value accounts, and serve as the primary point of contact for clients and artists alike. You will work within clearly defined KPIs set by the founder and COO, with the support of a direct sales report. Your role bridges account management, artist coordination, and revenue optimisation — ensuring seamless service delivery and a client experience that reflects our brand standards.
This is a fully office-based role. We are looking for someone who thrives in a structured, fast-paced environment and brings the administrative rigour, product knowledge, and interpersonal polish this seat demands.
Key Responsibilities
Bookings & Sales Pipeline Management
- Manage the full bookings pipeline from initial enquiry through to confirmed booking and post-event close.
- Ensure 100% of new leads are logged into Zoho CRM within 24 hours of receipt.
- Advance all enquiries through pipeline stages (Created, Qualified, Proposal Sent, Won, Lost) within 24 hours of each interaction.
- Identify leads that are stuck in pipeline stages, diagnose root causes, and take corrective action or escalate appropriately.
- Track lead volumes on a daily, weekly and monthly basis across the pipeline.
- Monitor lead source trends and frequently requested artists to inform pitching strategy.
- Identify duplicate records and correct CRM anomalies proactively.
- Maintain 95% accuracy in client data, event details and financial records at all times.
Client Communication & Relationship Management
- Acknowledge all client enquiries within 24 hours (excluding weekends and public holidays).
- Respond to clients within 24 hours of confirming performer availability.
- Follow up on proposals and formal quotes within 72 hours, targeting 80%+ client response rates.
- Forward complex briefs to senior management with full qualifying information.
- Conduct random quality checks on outbound client correspondence to maintain communication standards.
- Build and maintain strong, trust-based relationships with clients across both B2B and B2C segments.
Proposal & Quote Generation
- Ensure 90% of informal proposals meet company standards, including fees, artist bios, set lists, technical riders and event customisation details.
- Generate and send formal quotes, invoices and contracts within 12–24 hours of client confirmation via Zoho CRM.
- Confirm quote values are accurate, with particular attention to multi-day or high-complexity events.
Artist & Performer Coordination
- Confirm artist availability within 12–24 hours of client request.
- Escalate unresponsive artists within 24 hours.
- Maintain 100% compliance with artist booking confirmations and communicate status changes within 12 hours.
- Record agreed rates and verify invoices with 100% accuracy.
- Conduct monthly check-ins with 100% of assigned artists; update profiles, rates and marketing materials monthly.
- Track artist payments and ensure budgets are current at least one month prior to each event.
Revenue Growth & Upselling
- Identify and pursue upselling opportunities in at least 30% of enquiries (additional artists, premium packages, equipment hire).
- Achieve a minimum 20% conversion rate on upselling suggestions.
- Track conversion rates from lead to closed won/lost and report on trends to the founder/COO on an agreed cadence.
- Suggest upselling opportunities based on pipeline patterns and support improvement of follow-up communication quality.
Financial & Payment Tracking
- Track 100% of client deposits and update payment status daily.
- Monitor projected versus actual figures and flag discrepancies timeously.
- Track deposit and final invoice timelines actively to support deal closure.
- Resolve or escalate artist payment delays within 24 hours of identification.
Event Execution & Final Coordination
- Ensure 100% of event details (timelines, soundcheck times, hospitality requirements, etc.) are recorded and acknowledged by all parties.
- Perform final CRM data checks 48 hours before each event.
- Maintain thorough documentation of client and artist expectations.
Team Support & Sales Coordination
- Oversee and support the daily activities of a direct sales report, maintaining accountability to KPIs.
- Monitor task volumes and overdue items; identify workflow bottlenecks and suggest prioritisation.
- Support role clarity and continuity during team transitions or handovers.
Reporting & Post-Event Administration
- Submit weekly reports on lead status, outstanding payments, artist confirmations and unresolved challenges.
- Send thank-you emails and feedback requests within 4–7 days of each event.
- Close events in CRM as ‘Closed Won’ or ‘Closed Lost’ within 7 days of conclusion.
- Review pipeline dashboards to identify bottlenecks across stages and surface insights relevant to sales performance.
