Job description

The Cape Town International Convention Centre Company (RF) SOC Limited is so much more than just another convention centre. The main purpose: The Sales Executive: Exhibitions is responsible for all exhibitions sales for the CTICC and will work with a team which will consist of Head of Sales, Sales Executive: Exhibitions, Sales Coordinator and the Chief Commercial Officer.

Reporting to the: Head of Sales

Key responsibilities will include but are not limited to:

1. Coordinate exhibitions

  • Research relevant exhibitors for consumer and trade shows.
  • Write sales proposals to potential clients based on their needs.
  • Face-to-face, telephonic selling exhibition and sponsorship packages based on show proposition.
  • Account management of specific key clients for event products, increase their spend, understand their needs and goals and work on a plan that will add value to them.
  • Develop new key accounts.
  • Achieve and exceed personal and show targets.
  • Work with marketing and operations on on-going initiatives that may involve the development of target campaigns and collateral.
  • Update CRM systems with relevant client’s details.
  • Compilation of a monthly sales activity report and any ad-hoc reports as required.
  • Weekly update of sales pipelines.

2. Increase sales

  • Proactively identify and establish contact with potential and existing clients.
  • Research and approach potential clients and organisers to set up sales onsite and offsite meetings.
  • Follow up on leads received from the Sales Coordinator.
  • Maintain contact with new and existing clients to generate new leads.
  • Respond to sales enquiries within 24 hours from new and existing client enquiries.
  • Coordinate and conduct site inspections for potential and existing clients.
  • Determine the exact needs of the client to advise on best suited venues and products and services.
  • Preparing quotations based on client’s needs in line with CTICC standards.
  • Delivering of CTICC presentations at tradeshows, off site at client offices or on site at CTICC.
  • Provide feedback from clients to enhance the CTICC product functioning and service delivery.
  • Follow up on leads received from international sales representative.
  • Negotiate rates within authority framework and yielding policy.
  • Carry out relevant reporting / administrative requirements of the job regularly.
  • Work closely with the team to help achieve department objectives.
  • Any other assistance over and above the duties in this job description as required by CTICC on an ad hoc basis.
  • Upsell all services, AV, Digital offerings, medics etc.

3. Coordinate and procure services for short term events hosted at CTICC

  • Ensure client satisfaction with the event planning process.
  • Determine exact needs of client and suggestive sell with available options.
  • Upsell CTICC additional services i.e. catering, audio-visual, décor etc.
  • Secure client feedback through debriefing sessions and respond appropriately to client feedback.
  • Adhere to procurement and health and safety processes and procedures.
  • Consult the operations department regarding clients’ requirements.
  • Conduct Event Services department handovers utilizing the handover template and loading paperwork into EBMS.
  • Liaise with and promote CTICC in-house service providers to clients.

4. Financial

  • Meet and exceed annual revenue and event number targets for the market segment.
  • Negotiate rates with clients and offer variety of options to ensure that the client budget is met; however, that CTICC yields maximum revenue.
  • Upsell CTICC additional services i.e. catering, audio-visual, décor etc.
  • Follow up on payments as per the conditions of hire, ensure full venue hire payment is received prior to event commencement, as per the payment plan.

5. Client and stakeholder management

  • Ensuring proper interdepartmental communication.
  • Building and maintaining good client relationships by conducting sales calls, site inspections, cold calls and attending CRM events.
  • Represent the CTICC at relevant trade shows, workshops and industry functions.
  • Manage and maintain meaningful relationships with industry stakeholders and partners.
  • Activate events to showcase the CTICC services and offering for potential business per market segment.
  • Involve the relevant departments at client meetings to ensure that proper communication and event handovers are maintained.
  • Ensure client service delivery is according to expectations and achieves 80% in Customer Survey Reports.

6. Reporting and database management

  • Completing sales reports required for analysis.
  • Maintain the CTICC contact database on EBMS.
  • Maintain the EBMS Opportunity database with intellectual property on each event.
  • Monthly report on key performance indicators as set by the Manager: National Sales.
  • Ad-hoc reports as maybe requested from time-to-time.

Minimum qualifications and experience:

  • Certificate in Event Management, Tourism or Hospitality (NQF level 5).
  • At least three five (5) years’ proven experience selling exhibitions and trade shows.
  • Proven record of achieving sales targets.
  • Proven relationships with Exhibition or Tradeshow clients.
