Job Advert Summary

Little Bosch is seeking a warm, organised, and proactive School Administrator to support the efficient day-to-day operations of our Grade R school. The successful candidate will be the first point of contact for families, staff, and visitors, ensuring a welcoming, professional, and well-organised environment. This role requires a person who enjoys working with young children and their families, possesses strong administrative and communication skills, and can manage multiple responsibilities with efficiency and attention to detail.

Minimum Requirements

Requirements

  • Relevant qualification in Administration, Office Management, Education Administration, or a related field (advantageous).
  • Minimum 3–5 years' experience in an administrative role in a school environment preferred.
  • Proficiency in Google Workspace (Sheets, Docs, Drive) and Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • A valid Police Clearance and Child Protection Clearance Certificate
  • Excellent written and verbal communication skills.
  • Strong organisational, planning and time-management skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Excellent interpersonal skills and a professional, friendly manner.
  • Ability to work independently and collaboratively as part of a team.
  • Valid driver's licence (advantageous).

Duties and Responsibilities

Administration

  • Respond professionally and promptly to telephone calls, emails and parent enquiries.
  • Maintain accurate learner, staff and family records and attendance.
  • Manage filing systems and ensure the confidentiality of sensitive information.
  • Prepare and distribute newsletters, notices and school communications.
  • Assist with school reports, forms and administrative documentation.
  • Liaise with the Western Cape Education Department (WCED).
  • Manage and maintain learner records on the CEMIS system.

Admissions and Enrolment

  • Prepare enrolment documentation and contracts and related correspondence.
  • Manage enquiries from prospective families.
  • Coordinate school tours and admissions processes.
  • Maintain waiting lists and enrolment records.
  • Support families throughout the admissions process.

Financial Administration

  • Manage and reconcile petty cash.
  • Assisting Bursar’s office with learner records, forms and Little Bosch related collections.

Staff and School Support

  • Provide administrative support to the Head of School and teaching staff.
  • Assist with ordering stationery, resources and school supplies.
  • Support the smooth operation of daily school activities.
  • Collating Little Bosch staff leave forms and sending through to Bursar’s office.

Event Coordination

  • Assist with planning and administration of school events, parent evenings, fundraising activities and special functions.
  • Coordinate invitations, RSVPs, communications and event logistics.
  • Support community-building activities within the school.

Compliance and Safety

  • Ensure learner records, consent forms and medical information are current and accurately maintained.
  • Assist with maintaining compliance documentation and school policies.
  • Support health and safety procedures and emergency planning and preparedness requirements.

Marketing and Communication

  • Assist with maintaining the school website and social media platforms.
  • Prepare promotional materials and communications for prospective families.
  • Support school marketing initiatives and community engagement activities.
