We are recruiting for a Sectional Title/HOA Portfolio Facilities Coordinator. All details are included below.

A property management company specialising in the day-to-day administration of Sectional Title and Shareblock schemes, Home Owners Associations, Retirement Villages and Hotels. Our mission is to manage our customers' assets and investments at a high, professional level, through a trustworthy relationship with trustees, directors and members.

You work well in a team but have no problem working independently and taking initiative when the need arises.
QUALIFICATIONS:
- Certificate or Diploma in Facilities Management advantageous
- Paddocks Sectional Title / Home Owner’s Course advantageous
KEY RESPONSIBILITIES:
1. Property Administration
Timeously answering email and telephonic queries. Performing site inspections of buildings or community schemes within the designated portfolio as and when required. Assisting with other administrative tasks related to facilities of community schemes.
2. Repairs & Maintenance Facilitation
Administering all repairs and maintenance related tasks and facilitating processes involved in the effective completion of jobs.
3. Client Relations
Build and maintain strong relationships with property owners, trustees, and tenants, providing exceptional customer service and effective communication.
4. Statutory Compliance
Stay up-to-date with all sectional title and HOA laws and regulations including other statutory requirements from various other stakeholders. Always ensuring all community schemes in the portfolio are in compliance.
5. Insurance
Assisting with and administering insurance claims on behalf of property owners and community schemes, ensuring timeous completion of all claims.
6. Overall Assistance
Effectively offer assistance to the portfolio manager throughout all processes and tasks within the designated portfolio which relate to the facilities of community schemes.
EXPERIENCE AND SKILLS:
- Minimum 3 years related experience
- Understand maintenance processes and maintenance agreements
- Basic understanding of utility management
- Must have skills in interpreting requests and instructions from owners/trustees and processing such requests
- Administer and facilitate common property maintenance jobs
- Arrange annual Health & Safety inspections and manage actions post inspections
- Knowledge of insurance fundamentals
- Administer and facilitate insurance claims and broker liaisons
- Knowledge of Sectional Title Schemes Management Act and respective governing documentation i.e. Conduct Rules, Management Rules, Constitution.
- Understanding payment processes and interpret quotations and invoices
- Management of access control systems
- Experience in dealing with owners and tenants and reporting to a board of trustees
- Computer literacy in MS Office and Google Workspace
- Ability to compile accurate reports and data capturing
- Excellent interpersonal skills
- Excellent listening skills
- Excellent verbal and written communication skills (fully bilingual)
- Excellent organisational and administration skills
- Excellent at prioritising tasks
- Must have great attention to detail
- Must be self-motivated
- Must have the ability to work independently and as part of a team
- Exceptional problem-solving and decision-making abilities
- Excellent telephone etiquette in both English and Afrikaans
- Customer service orientated
- Ability to deal with high volumes of work and to work well under pressure in order to meet deadlines
- High level of commitment to the company and compliance with standards
