SENIOR ADMIN OFFICER

12 MONTHS FIXED-TERM CONTRACT

HEAD QUARTERS; WOODSTOCK

The Desmond Tutu Health Foundation is currently recruiting for a Senior Admin Officer. The main purpose of this position is to provide comprehensive financial administration, contracts coordination, project administration and programme support across the UCT Clinical Trials Unit (UCTCTU), Desmond Tutu HIV Centre (DTHC) projects and related DTHC/F capacity-development initiatives. The position maintains accurate administrative, financial and contractual records, coordinates programme activities, and supports CORE Community Advisory Board meetings and stakeholder events in accordance with UCT, funder and institutional requirements.

  • Relevant Diploma or Bachelor’s Degree in Administration, Finance, Commerce, Project Management, Public Health, Health Sciences Administration or a related field
  • Minimum of 5 years’ relevant administration experience across all of the following areas: financial administration, project administration, grants administration, research administration, contracts tracking, and programme coordination, within a university, NGO, health, or clinical research environment
  • Experience in meeting and event coordination
  • Knowledge of financial administration principles
  • Knowledge of contracts tracking and document control
  • Knowledge of community engagement administration
  • Knowledge of records management and confidentiality requirements
  • Intermediate to advanced Microsoft Office 365
  • Communications skills, verbal and written
  • Planning and organizing skills
  • Attention to detail
  • Problem-solving skills
  • Ability to prioritise multiple deadlines and work across multiple projects and stakeholders
  • Ability to maintain confidentiality and handling sensitive information appropriately
  • Ability to work as part of a team
  • Attendance at community meetings and events in the Klipfontein and Mitchells Plain areas is required

Advantageous:

  • Knowledge of university or research administration processes
  • Knowledge of donor-funded project administration
  • Knowledge of research environment administration

Responsibilities:

  • Financial administration and transaction tracking
  • Contracts logging, routing and document control
  • Coordination of IP3 programme activities
  • Administrative support for UCTCTU and DTHC project
  • Internship and postgraduate programme administration
  • Logistical, records and meeting support for CORE Community Advisory Board and stakeholder engagement activities
  • Maintaining accurate trackers
  • Preparing meetings
  • Reporting documentation
  • Coordinating logistics
  • Liaising with internal and external stakeholders
  • Ensuring records are complete, accessible and audit-ready
