Executive Secretary (Admin Assistant to VP Franchise)
Key Responsibilities
Executive & Strategic Support
-
Provide proactive, high-level executive support to senior leadership, managing complex and constantly evolving calendars, priorities, and deliverables.

Act as a trusted liaison between executives, internal stakeholders, and external partners across a broad networked organisation.

Anticipate business needs, identify potential challenges, and implement effective solutions with minimal supervision.
Stakeholder & Business Coordination
-
Manage high-level stakeholder engagement, including drafting executive correspondence, presentations, and briefing materials.
-
Coordinate and oversee leadership routines, including executive meetings, strategic offsites, and business planning sessions across multiple regions.
-
Support cross-functional collaboration in a large, multi-layered organisational structure, ensuring alignment and follow-through.
Travel & Logistics Management
-
Lead end-to-end international travel planning, including flights, accommodation, and ground logistics.

Demonstrate advanced expertise in global visa requirements, consular processes, and travel compliance, ensuring seamless travel execution.

Manage travel budgets, approvals, and expense reporting in line with corporate policies.
Meeting & Operational Excellence

Drive the end-to-end coordination of executive meetings, including agenda setting, presentation consolidation, and logistics management.

Ensure high-quality execution of internal and external events, including senior leadership engagements.

Maintain operational efficiency within the executive office, ensuring high standards of organisation and delivery.
Qualifications & Experience
-
Bachelor’s degree in business administration, or a related discipline.
-
7–10+ years’ experience in a senior Executive Assistant / Executive Secretary role supporting C-suite or senior leadership.
-
Proven experience operating within a large, complex, and networked organization, ideally in a leading market environment.

Demonstrated ability to manage high volumes, competing priorities, and ambiguity with professionalism and composure.
Key Skills & Capabilities

Advanced proficiency in Microsoft Office, particularly PowerPoint (executive-level presentations), Excel (advanced data handling, reporting, and analysis), Outlook and Teams.

Exceptional organisational and time management skills, with strong attention to detail.

High resilience and flexibility, with the ability to adapt in a fast-changing environment.

Strong interpersonal and communication skills, with the confidence to engage at all organisational levels.

Proven ability to maintain confidentiality, discretion, and professional integrity.

Experience working within a networked business model, navigating multiple stakeholders and geographies effectively.
