Join our I&J Trawling Division in the Waterfront, Cape Town as a Senior Operations Administrator and play a key role in managing all administration, communication and invoicing for permanent contractors in operations, and to manage all overtime and adjustments to working hours for permanent staff in operations.
Reporting Structure:
- Reports to: Shore Coordinator
Key Areas of Impact:
Support to Shore Coordination
- Provide administrative support to the Shore Coordinator and Shiftsman Supervisor.
- Supervise, monitor and collate time and attendance records.
- Manage the ordering of cooks’ stores, operational stationery, consumables and PPE.
- Plan and coordinate in house repairs.
Supervise, Monitor and Collate Overtime and Short Time
- Check clocked hours against actual hours worked, including best time and facial recognition records.
- Compile weekly working hours for vessel services, discharge and operations staff for management review and approval.
- Ensure all overtime hours due are accurately collated and submitted to management for review and approval.
Bunkering Administration
- Upload all documentation relating to fuel taken by vessels.
- Reconcile fuel received against invoices to ensure accurate rebates are processed and received.
- Process GRVs for fuel received once all supporting documentation has been uploaded.
- Ensure the correct Service Agreement number is used for each GRV.
Monthly Invoicing
- Create and manage SAP requisitions, purchase orders, GRVs and service entries for supplier invoices.
- Verify invoices by reconciling volumes, agreed SLA rates, crane requests, signed documentation and hours worked.
- Resolve discrepancies and follow up to ensure invoices and payments are processed timeously.
Weekly Invoicing
- Ensure purchase orders are created for the supplier and determine when new purchase orders are required.
- Create requisitions on SAP.
- Ensure invoices are received for each vessel.
- Vet invoices and clarify discrepancies with the Line Manager.
- Create service entries on SAP once invoices have been verified.
Vessel Husbandry
- Serve as the point of contact for all accommodation requirements received from vessels.
- Ensure all requests receive the necessary approvals and that goods are ordered timeously.
- Manage vessel dockings between Fleet and Operations.
- Manage Radio Controllers and ensure compliance with Port Operations requirements.
What It Takes to Succeed:
Experience that set you up for success:
- Minimum 6 years’ experience in Shore Operations or Cold Storage
- Minimum 5 years’ experience in SAP ERP or similar
Qualifications & Certifications that will contribute to your success:
- Grade 12 / Matric
- A Degree/Diploma in Logistics or Supply Chain is required.
Additional Requirements that will enhance your impact for success:
- Drivers License and own reliable transport
